Who are our external stakeholders? how bog is their interest and influence on the event?
Stakeholder analysis (identify, categorize, and manage)
People and organisations with a legitimate interest in the outcomes of an event are known as stakeholders. The event manager must be able to identify the range of stakeholders in an event and manage their individual needs, which will sometimes overlap and conflict.
The model visualizes a range of different stakeholders typical for events. Furthermore, the arrows show what they each expect and contribute with to an event organisation.
The model can be used as inspiration for identifying relevant stakeholders for your particular event, as well as their needs and interests in terms of your event.
The engagement model is a practical tool for gaining an overview of the levels of collaboration and engagement that can be associated with an event. The model should be seen as an indicative framework and thus not as a complete overview.
There can easily be other levels and aspects of event collaborations. The same stakeholder can also be in several of the layers at the same time. The higher up in the model the actor is, the more of the underlying layers he is also in.
Use this model to categorize your identified stakeholders, to underline and identify their role in your event.
Place your stakeholders in the matrix below, to get an overview of the importance of managing each of the stakeholders for your event. The analysis will provide you with information about which stakeholders are particularly interesting for you, and which to keep a close eye on, because of their ability to make or break your event.
This analysis will also help you find new opportunities for partnerships, as well as threats to be dealt with in the further development of your event.
When you have identified all the stakeholders for your event, you should answer alle the following questions and place the stakeholders in the model here.
How much does the event impact them?
How much influence do they have over the event?
What is important to the stakeholder?
How could the stakeholder contribute to the event?
How could the stakeholder block the event?
What is our strategy for engaging the stakeholder?
What values does the stakeholder have?
How does it match our values?
You should use this matrix to answer the questions above.
This way you are making sure that everyone in your organisation are aware of who the stakeholders are and how you relate yourself to the stakeholders.
