The staffing needs of your event are highly dependent on the complexity and the nature of your event. Simply put; the more complex your event, the greater the amount of staff needed. Complexity can be assessed by the size and capacity of the event; size being thea area and the amount of activities happening simultaneously, and the capacity dealing with the number of participants that the event can accommodate. The nature of the event focuses on the level of professionalism required for your event. This very much depends on the type of event, the objectives and the stakeholders. The more professionalism is required, the more likely you are to use professional staff rather than volunteers.
In order to get an overview over the staffing needs of your event, you can create a diagram as the one shown in the picture on the left. The diagram lets your team discuss specific tasks, their nature and complexity. As a result, you can assess the specific vs. general skills, and decide when to use paid vs. volunteer staff. In the example on the left, you can see that the event requires a large amount of hospitality hosts and hostesses. The skills required for the job are quite general, and therefore, we might decide to use volunteer staff for this task. on the other hand, we need juts a few photographers, but the photography task requires ver specific skills, because we will need the photos for the next year's marketing material. Therefore, we may want to spend some money for professional photographers.
