Thesis defense (1 internal examiner, 1 external examiner, 1 convener)
We would like to remind you all of the Phd Examination procedures that should be followed within the School of Engineering.
PLEASE NOTE - All PhD viva correspondence should be sent to: schoolofengineering@glasgow.ac.uk. The School Office will then liaise with the Graduate School on all matters relating to PhD vivas on your behalf.
The procedure is as below :-
1 Intention to submit form
Student submits completed Intention to submit form to the Graduate School. This then instigates the Graduate School to send an email directly to student supervisors asking for the Examining Committee form to be completed. Please Note: The completed Examining Committee form should be sent to the SCHOOL OFFICE AND NOT GRADUATE SCHOOL (schoolofengineering@glasgow.ac.uk). The School Office will then ensure the form has been signed by the School’s Convener of Postgraduate Studies and once complete, the School Office will return the form to the Graduate School.
2 Completion of Examining Committee Form
The form must be completed in ALL SECTIONS by the Supervisors before returning to the School Office (schoolofengineering@glasgow.ac.uk).
There are a number of School procedures that we would be grateful if you could observe and these are detailed below:
a) Before finalising the completion of the Examining Committee form, please ensure you have your Head of Research Division’s approval of the committee. Heads of Research Division are as below:
· Aerospace Sciences – Prof Kostas Kontis
· Biomedical Engineering – Prof Manuel Salmeron-Sanchez
· Infrastructure & Environment –Prof Bill Sloan
· Electronic & Nanoscale Engineering – Prof Robert Hadfield
· Systems Power & Energy – Prof Margaret Lucas
b) Once approved, please return the completed form to schoolofengineering@glasgow.ac.uk. The School Office will then liaise with Dr Tony Kelly to obtain his approval as Convener of Postgraduate Studies.
c) Please advise schoolofengineering@glasgow.ac.uk if the Internal and External Examiners have been approached informally as, if they have agreed in principle to undertake this role, this does speed up the dispatch of the thesis from the Graduate School.
d) Once Tony’s approval has been received, the School Office will return the form to the Graduate School
3 Arrangements for the Viva Voce
The School Office will monitor the progress of arrangements towards the viva voce.
a) The viva date/time is organised by the Convener and the date should be no later than 6 weeks after the thesis is sent out to the examiners. Once a viva date/time is arranged, please inform the School Office (schoolofengineering@glasgow.ac.uk) in order to arrange the venue, catering etc. and issue formal letters to the External Examiner and the Student. The letters will confirm time, date and location of the viva voce including UK Border Agency requirements and accommodation booking details for the External Examiner.
b) The School Office will inform you of any potential submission lapses where possible and will keep in touch with you by email with or for updates.
c) When the Graduate School issue the Convener’s letter (i.e. after submission of the soft bound thesis directly to College) the School Office will monitor and prompt the Convenor if necessary for a date and time of the viva voce, if not received within 2/3 weeks of the date of the original e-mail.
4 Post Viva Voce
The pre-oral and post-oral examining paperwork (including any External Examiner expenses forms) should be submitted to the Graduate School. However, if you prefer to send them to the School Office, we will forward this paperwork to the Graduate School and keep a copy for our records).
