The Purchase Order (PO) Management feature exists in BoxTop and can be managed within BoxTop but it’s also possible and, in many cases, it’s preferable to access through BoxTrax. To access PO details in BoxTop please click on the Orders button in the Main Menu, see image below…

This information shown above can be made to appear in the PURCHASE ORDERS section of BoxTrax. The example below shows a list of all orders for the customer. This information can include the PO Number, supplier name, origin of goods, pieces, weight (if known), mode of transport, a few date fields, including issue, order ready and estimated delivery, in addition there are remarks and latest status fields and finally the number of items on the order…
BoxTrax has been designed to be an interactive service. It’s possible to allow an unlimited number of users have access to the information online, it’s also possible to allow your partners to access the information and, if authorised by you, add and/or edit the information shown.
You may notice, in the last image, that the orders have different colour backgrounds. We’re using a colour-coded scheme to help interested parties identify the orders more easily. If you want you can highlight any orders you’d like the Buyer (your customer) to see in a cream (off-white) colour, perhaps you’d like them to confirm method of shipping and/or bring to their attention specific issues concerning an order.
It’s possible to highlight any orders which your overseas partner might need to deal with, these are shown in a blue colour, perhaps they need to confirm latest status, goods passed QC testing, loaded in container, etc.
Once orders are in transit then the colour coding changes to a green colour and if any orders are delayed it’s possible to highlight these in red.

It’s also possible to allow your customers to be able to upload their orders electronically but please bear in mind that this requires commitment and effort by all parties, including by your customer. There is also a chance it might involve additional costs from BoxTop if we have to develop an alternative interface for your customer’s order output file. However, once in place this can save a considerable amount of time and effort and, you’ll be pleased to read, that it’s a simple process to manage, see image below…
