Prior to the start of operations, every vehicle should have at least half of a tank of gas. If it is below half a tank, staff will need to re-fuel. Staff must maintain a fuel level of no less than a quarter of a tank during operations. If a vehicle reaches a quarter of a tank or less during an employee’s assigned shift, they must radio the Nightly Operations Leader to make arrangements to fill up on gas.
The first priority must be to use the OSU Motor Pool gas pump when possible.

Sometimes the gas pump at Motor Pool will be out of service, this is very rare but happens. Only go to a commercial gas station once approval from the Nightly Operations Leader is obtained. To purchase the gas use the Voyager card. It is in the visor on the driver’s side of the vehicle. The Voyager card is accepted at all major fueling stations (Shell, Texaco, Chevron, etc.). You cannot use a different vehicle’s Voyager card to get gas! If you cannot find your card, but need to get gas, please notify the Nightly Operations Leader. When you arrive to the fueling station follow these steps:
Confirm that the station accepts Voyager BEFORE you begin fueling.
The attendant will ask for a PIN number, it is the last six (6) digits of the vehicle number
Vehicle number can be found on the back of the vehicle on the window as well as on the key's of the vehicle
The attendant will also ask for the current Odometer reading.
Get a receipt and place it in the visor pouch.

If the number you are inputting doesn’t take up all the question mark spaces, do not try to fill up the space, click enter after you input the number.
Filling the spaces can cause errors for you or others in the future.
ID not active
The driver authorization form is what gives you access to be able to use your ID number for gas.
If you are a newer employee this set up time can take a few days.
If you are not new, please contact the SafeRide Coordinator to determine the cause
In the meantime, please use another driver’s ID number to get gas for the night.
Odometer input was incorrect
You may get a message that asks you to input the odometer again and again. This is not an error. It means that the person before you entered the wrong odometer number. The pump would then like you to input the odometer three times to ensure it is the right number. After the 3rd time, it should let you proceed with pumping the gas.
Gas not pumping
There can be an issue with the pump itself but usually Motor Pool is aware of such issues and will give us notice before nightly operations begins.
It could be that you didn’t reset the pump properly when lifting the lever. Look to see if the numbers on the pump are at zero. If not, lower the lever and then lift it up again.
If the numbers are at zero, then this is likely from not waiting 10 seconds after lifting the lever. The pump will do a leak check and make a very slight click sound when it is done. If you do not wait and try start pumping, the pump may think there is a leak and stop the flow of gas.
Try to start over and wait well past 10 seconds. If the issue persists, notify the Nightly Operations Leader who will determine if going to a commercial gas station is needed.
