'Calling out’ is when a staff member is unable to work an immediate shift.
Our goal in SafeRide is to create a work environment that develops students staff while providing an essential safety service to students. When someone calls out last minute without finding coverage, it has an impact on student safety by reducing the number of vans we can operate. For this reason, we must take call-outs seriously. It is imperative that you obtain coverage for any shift you can’t work.
Whenever a staff member needs to call out they must post their shift on the When 2 Work Tradeboard and the #tradeboard channel in Slack.
All staff members will find their own substitutes to cover their shifts in the event they are unable to work their assigned shift.
Rather than just messaging the full staff, it is more effective to individually reach out to staff who are not working that evening through Slack to get a substitute
Any staff calling out from a shift is required to fill out the "Call out" form below before 5pm on the day of their assigned shift.
Staff members must contact The Coordinator and the Nightly Operations Leaders individually informing them of the call out.
Failure to submit a calling out form and/or informing The Coordinator will be considered an unexcused absence and potential no call no show.
Sudden Illness (fever, vomiting, COVID-19, migraine, etc.)
Recovering from an accident/injuries
Accommodations can be made with the Coordinator to continue work while recovering if the injury permits
Staff members may be asked to submit a physician’s note or other medical documentation if they are absent for more than three days consecutively, or if they call out sick without finding coverage multiple times within the term. If a staff member has a chronic illness that impacts their ability to consistently show up for their shifts, they must work with DAS/EOA, and the Coordinator to attain formal accommodations.
In addition to illness, some personal emergencies and other extenuating circumstances may be grounds for a permitted absence. If you experience a personal emergency, contact the Coordinator. You may need to provide additional details in order for the absence to be excused.

Needing to work on class project, homework, take home exam, studying, etc.
SafeRide requires staff to have excellent time management skills to avoid conflicts between their work and their academics
Feeling too tired to work
Because SafeRide operates late at night, staff are expected to adapt their sleep schedule to ensure they are getting adequate rest in the days leading up to their shifts.
While we prioritize safety above all else, and would never want a staff member to drive if they are too tired to safely do so, calling out for this reason without having a substitute lined up will be considered an unexcused absence
Not wanting to work your shift
Everyone has days when they’d rather stay home. But unless you have someone to cover your shift, our expectation is that you work the hours you’re assigned.
Unexcused Absences & No Call No Shows
After 1 unexcused absence in a term. The employee will meet with the Coordinator reminding them of the protocol. This meeting initiates the SafeRide Accountability Guidelines.
After 2 unexcused absences in a term. The employee will have a meeting with the Coordinator to talk about your shifts and calling out expectations. The Coordinator and student will develop a plan for reducing the amount of unexcused absences moving forward, this could include: signing up for fewer shifts, adjusting availability in W2W, and identifying strategies for finding coverage.
After 3 unexcused absences in a term. The employee will have a meeting with the Coordinator to discuss whether continuing at SafeRide is a good fit. This could also result in additional steps under the SafeRide Accountability Guidelines.
Excused Absences without finding coverage
After 3 excused absences in a term. The employee will not be scheduled for any new shifts and any shift swaps will not be approved until they meet with the Coordinator. This could begin the SafeRide Accountability Process. Once the employee meets with the Coordinator this scheduling restriction will be lifted. This could begin the SafeRide Accountability Process.
NOTE: The Coordinator will keep track of all absences both excused and unexcused. If a trend is noticed or there are shifts that a student frequently calls out for, a student may still be held accountable under the SafeRide Accountability Guidelines
The purpose of this form is to record the steps you have taken to get your immediate shift taken care of.
This protocol is in place to make sure you are not skipping your shift.
