This page outlines the process for requesting, approving, and maintaining Muck Rack accounts for Orchestra employees in compliance with our contract.
This SOP applies to all Orchestra employees and contractors.
1. Manager Approval:
All seat requests must be approved by the employee’s manager.
The manager must email techsupport@orchestraco.com, CC’ing the requested user, and include the following information:
User’s first name, last name, title, and team
Expected frequency of use and anticipated timeline
Confirmation of whether an existing seat can be reallocated*
*Managers are expected to first identify inactive or lower-priority users on their team whose seats could be reassigned before requesting a new seat.)
2. Admin Review
The Muck Rack admin will review the request and confirm seat availability.
If a seat is available: The user will be added to Muck Rack and receive an invite to set up their account.
If a seat is not available: The manager may either:
Reallocate a seat from another team member based on client need and priority, or
Have the user share a login with another team member.
3. Finance Approval
If no seats are available and the user requires an individual license to adequately support a client account, Finance must be added to the email thread to review and approve the additional cost before the employee is added to the platform.
Note: Open seats will be prioritized for users with frequent and/or long term client needs, users working on high priority/high value clients, and Orchestra employees and interns (vs. freelancers).
Quarterly Audit
Our Muck Rack account representative will review login and usage data and automatically deactivate users who have not accessed the platform for three or more months.
Users who are no longer active at the company (e.g., seasonal interns) will also be identified and deactivated.
Employee Offboarding
As part of the offboarding process, IT will review the employee’s Muck Rack access. If the employee has an active account, it will be immediately deactivated so the seat can be reassigned.
