Everything you need to know about mail, deliveries, IT support, and shared amenities at the Boston Office.
From handling food deliveries and sending mail to setting up tech in meeting rooms, this guide covers essential logistics to help you navigate our office seamlessly. Be sure to follow the protocols outlined here to ensure smooth coordination and facility support.
Food deliveries should be coordinated directly with the recipient. For all personal couriers or food deliveries, you must meet the delivery person in the building lobby downstairs. Please ensure the appropriate boxes are checked and a note is included in your delivery app settings.
Guidelines:
Meet delivery personnel in the lobby.
Avoid leaving deliveries unattended in shared areas.
All incoming packages should be labeled clearly with the recipient’s name and team.
Ground level is outgoing mail.
If you are ordering catering for a meeting or event on premises, please coordinate catering requests with Office Management when using shared meeting spaces.
Guidelines:
Reserve conference rooms before scheduling catering.
Clean up after meetings and events.
Treat the office like your home. We are all adults and all responsible for the cleanliness of the office. It is not one person's job. To maintain a collaborative and professional environment:
Clean up shared spaces after use.
Return furniture or equipment to its original setup.
Dispose of trash and recycling properly.
Be mindful of shared refrigerator and kitchen usage.
Meeting rooms are available for internal meetings, client calls, and hybrid collaboration.
How to Book:
There are four conference rooms that can be reserved through Google Calendar.
Guidelines:
Start and end meetings on time.
Reservations are for meetings with groups of people.
Rooms may not be used for one-on-ones/ quiet spaces.
Reset the room after use.
Report AV or equipment issues to IT.
The phone booth (The Pru) is available for private calls and focused work. This must also be reserved.
Guidelines:
Intended for short calls or individual work sessions.
Please avoid extended occupancy during busy periods.

Orchestra is committed to promoting sustainability and minimizing its environmental impact. Designated recycling bins for paper, plastic and other recyclable materials are located throughout the space. Please ensure that non-recyclable waste is not placed in the recycling bins.
Minimize paper usage by opting for digital alternatives whenever possible. When printing is necessary, use double-sided printing and aim to conserve paper.
These rooms are intended for wellness, privacy, or focused quiet work.
Please lower the shade and lock the door when using it.
This room can also be used for our Inkhouse mamas. There is a fridge in the room to store your things.
Please note that this room is also library-esque, so when you need to use it, feel free to ask people to leave.
If no one is in it, you may use it as a library or conference room.
Noise Levels
Our office is a collaborative environment. Please be aware of your surroundings and courteous toward those near you.
No Smoking
Smoking of any kind; cigarettes, electronic cigarettes, vaping products, other tobacco, marijuana or similar products is not permitted in Orchestra’s space.
Social Events + Conduct
Social events for employees and clients/guests are periodically held in the office. Attendance at these events is voluntary and does not constitute part of an employee’s work-related duties (unless it’s a client event and/or otherwise noted by management).
Alcoholic beverages may be available at these events for employees of legal drinking age. Employees who choose to drink alcohol must do so in a responsible and professional manner.
Pets
Pets are not permitted at the Boston Office.
