The submission of the contract form starts the contract process. Using the information submitted in the form, a draft is created by Legal and reviewed by the Orchestra Authorized Signer . Once we have the draft of the contract approved, the Client signer receives the contract to sign via DocuSign. When the contract is signed by the client, Orchestra Authorized Signer receives the document to fully execute. When he is done the ‘CC’ recipients listed in the Contract Request form receive the fully executed agreement.
If edits are needed, Legal will coordinate with the client and Orchestra client POC off of the system (i.e. via email/calls) to finalize the terms until agreed upon.
After terms are agreed on, the client signs the contract and returns to Orchestra. Orchestra then signs the contact and sends the fully executed contract to the client.
The contract is stored on QuickBase and accessible to permissioned users.
All client contracts must be entered into the QuickBase application "Contract Management" (linked but only accessible to those with access permissions).
To submit a contract request, you will need to access QuickBase with your division-specific* username and login.
*Note: Each division has a log-in and password. If you need your division's login information, please request this information from your team.
Contract requests must be submitted prior to starting work for a client as soon as the client shares their contract with us or when all the necessary information is solidified:

All new freelancer requests must be submitted through the Freelancer Quickbase App. This app:
Creates a centralized repository/system for all freelancers
Streamlines the onboarding experience and
Improves experiences for practices, freelancers and operations.
*Note: The terms "freelancer" and "contractor" are used interchangeably below.
You (or others in your practice) will submit the freelancer request via the Freelancer Quickbase App
Your practice's Client Finance Manager/VP will review and approve the freelancer request against your practice's budget
If your freelancer request is urgent (start date within three days), please also email contracts@orchestraco.com.
Contracts team will draft and send the freelancer contract and NDA (note that unless the freelancer has already signed an NDA in the past with Orchestra, both the agreement and NDA will be in one document in the Quickbase app) to the freelancer via the DocuSign <> Quickbase integration
Freelancer signs contract then the Orchestra Authorized Signer signs contract
Freelancer completes Vendor Intake Form linked out and highlighted in contract (but only if they're a new freelancer)
Ops will onboard the freelancer based on the items selected on the freelancer request form
Onboarding steps might include: creating a BR email address, Slack account, Replicon account, and providing office keycard access. This process will be completed by various Ops teams such as IT, HR, and Facilities.
