We know your first few days can feel like a whirlwind—you'll be meeting lots of new people, learning new systems, and taking in a lot of information. Don't worry, no one expects you to remember everything on day one!
Throughout the first week, you'll participate in a series of onboarding sessions to introduce you to Orchestra, our culture, and the tools and resources you'll need to get started. Be sure to check your calendar for the timing and details of each session.
All new hires) will participate in an Orchestra New Hire Orientation, typically held on Tuesdays at 2:00 PM ET. This orientation, led by the Culture Team, provides a high-level overview of Orchestra (our work, how we’re structured, and our values), along with practical information to help you get settled, including key systems, policies, and initial to-dos.
If you are starting on a day other than Tuesday, you will join the New Hire Orientation the following week.
Calendar invitations are sent directly to you, and you will receive a reminder on the day of your orientation, along with conference room location (if applicable) and Orchestra Orientation Deck to follow along.
HR will coordinate the following during the new hire’s first week:
A 1:1 meeting to finalize employment paperwork and I9s
A 1:1 benefits orientation (if eligible)
Most systems training (tools like Replicon and Hubspot) are currently asynchronous via recorded videos on the intranet. We recommend viewing the recorded trainings first, then working with your manager on more specifics about how you should be using those systems. in
The office managers in each respective office location will provide a tour of the office to the new hire and show them the common areas and space, where their team sits, restrooms, and other areas. For NY-based staff, this tour will take place at 11:30am.

New York Office (195 Broadway)
Setting you up for success starts with ensuring you have the right tools and access from day one. If you have any questions about your IT set up or related issues, please contact tech@orchestraco.com.
You will receive two email addresses:
Your agency-specific email address will serve as your primary email address for day-to-day work and internal communications within your operating company/team (Derris, Berlin Rosen etc).
You will also receive an “@orchestraco.com” email address, which is primarily used for client-facing communication, cross-company collaboration, system logins, and access to shared company platforms and tools.
Slack is where and how staff across all offices communicate internally.
On Day 1, you will receive an email with instructions to activate your Slack account; you will not be active in Slack prior to your first day.
Once activated, you will be automatically added to the following all Orchestra channels:

Your manager will add you to relevant team and client channels.

Below are some of the main systems that Orchestra staff use regularly. Your manager may add you to more systems that are specific to your team/role.
You should use the “Sign in with Google” option whenever possible to access systems using your @orchestraco.com email as your default login.
Google Workspace: Google Workspace is our go-to suite for communication, collaboration, and productivity, and your Google account is used to sign into the majority of services across Orchestra.
Replicon: Replicon is Orchestra's time tracking and resource management platform. All client-facing, billable employees are responsible for logging their time in Replicon.
Enterprise ChatGPT: Enterprise ChatGPT is the secure AI assistant that we use at Orchestra, designed to help you work more efficiently. You can use it to brainstorm ideas, draft and edit content, summarize information, conduct research, analyze data, and support everyday tasks—all while benefiting from enterprise-grade security and privacy protections.
Paylocity: Paylocity is our human resources information system (HRIS), where you can view pay statements, access tax documents, update your personal information, enroll in benefits, and manage other employment details.
Lattice: Lattice is our performance management platform, where you'll set goals, participate in performance reviews, receive feedback, and track your professional development.
Emburse: Emburse is our expense reimbursement platform for submitting receipts and requesting reimbursement for approved business expenses charged to your personal card.
Greenhouse: Greenhouse is our applicant tracking system (ATS), where employees can refer candidates, share open positions, and, for hiring teams, review applications and participate in the hiring process.
Robin (for NY and DC-based hires): Robin is our workplace scheduling platform for reserving desks and planning in-office collaboration, specifically for our NY and DC offices.
HubSpot (for staff with business development responsibilities) : HubSpot is our customer relationship management (CRM) platform used to manage client and prospective relationships and support marketing initiatives across the Orchestra network.
As you settle into your new role, here are a few things to look forward to over the coming days and weeks:
Complete your employment paperwork. A member of the HR team will reach out with any remaining onboarding forms and documentation.
Schedule your benefits enrollment session. HR will contact you to review your benefits options and answer any questions you may have.
Attend your team-specific orientation. Your manager and team will introduce you to your department's workflows, priorities, and ways of working.
Review the Replicon training materials. If Replicon is part of your role, be sure to complete the training resources available on the intranet and connect with your manager if you have questions.
Complete your staff directory profile. Help your colleagues get to know you by adding your photo and updating your profile information.
Join the New Hire Lunch with the Executive Leadership Team. If you're based in our New York or Washington, DC office, you'll be invited to meet members of our Executive Leadership Team and connect with fellow new hires.
