An innovative approach to design an online dashboard system for the Chaucer school is been taken in the report. For the designing method of an online dashboard system, a deep analysis has been made. The designing method of an online dashboard for the Chaucer School, Sheffield compromises critical thinking and deep analysis in determining the goals before creating the dashboard as per the requirement necessity of the school. The first step involved considering and examining the audience and then determining the main objective of the purpose. After examining and considering the audience and goals relevant KPIs are made to be chosen. The data needs a story about the requirement of the need in the portal system. After data implementation, a context was provided for the purpose. the point to be noted while designing the portal is all the points should be mentioned accordingly, and it should be taken care of that all the information regarding the work of the school should not be placed on the same page. The information needs to be placed in proper order for easy access for the users. The selection of the right and perfect dashboard is considered for the design purpose. The right chart type is implemented in the dashboard, only for the convenience of the users.
Immediate action is provided in the portal for the relevant information needed. The designed portal for the school helps in providing a proper overview of the important works and points for a student and other authorities and teachers of the school.
The importance of creating this dashboard for the school is very useful for analysis in a long time and also useful in providing a high understanding of the behavior of the users. The whole system of the portal is designed for the whole school including the students, teachers, and any grade or roster of the school.
The analysis of the project for the stakeholders includes the opinion and views of parents and students and other authorities as part of the stakeholders. The dashboard system named "student information system" is been implemented in this project. The portal is very useful for the users and a class management system developed for the students and teachers. The online portal design allows accessing the attendance portal and marks of the students in all the semester exams and allows tracking of their roles and task every day. The system also maintains the schedule of the student and programs ongoing and to be organized in the school. The system design is created in such a manner that the parents and students can easily access the system on their mobile phones as well. It would be very helpful in tracking the grades and performance of their wards. A common approach was made in the past years by many schools in Germany as well as all over the world. The presentation of the dashboard is created in a way that is limited to a tabular form of the grade book. Proper information and a user guide are provided for the students, their parents as well as other individuals accessing the online portal. The purpose of utilization of the resources and their importance provided in the dashboard is explained to each individual and access way is also been trained to everyone. The report is presenting a new current dashboard after examining both the primary and secondary school environment, considering the fact in what instance the dashboard provides information and serves the student as central and personal access to the portal by a unique user id and password.
The portal is designed for the higher education students of the school, is provided by LMS- learning management system. Using Moodle for the creation of the portal, there exists an extension that provides students with an overview of their performance and status in a graphical form for better understanding. Figure 1: scheme design
The above-represented diagram in the reports shows the schematic flow chart diagram for the construction of a dashboard program for the students of Chaucer school. The diagram is mentioning all the vital points and procedures as well as the requirements of a different individual are mentioned. The design of the dashboard required for the Chaucer school is capable of defining a visual representation of the most vital information needed to achieve the objective. The whole design mechanism is proposed for the fulfillment of the data needed for the employees, students, and teachers of the school. The schematic design diagram is showing the details of the design, access criteria of the students by providing them the sufficient details and data.
This report strictly shows the designing principles and methods involved in the creation and development of the portal needed for easy access and keeping the recorded data of all the employees of the same school as mentioned. Many learning outcomes can be derived from the project, one of them is learning the main strategies used in production planning by construction management including chase strategy, assembling of the task, make to stock, and a level production of the desired work.
The critical path method is nothing but an algorithm of resource utilization for making schedules for the required project which includes all the tasks mentioned in a list to be continued, the dependence, and the estimated total time duration required for the task to be completed.
With the help of this critical path method for designing a dashboard the longest stretch of the activity which are dependent, and measurement can also be done from start to the last of the task of designing the online portal.
Figure 2: layout design for construction and working of dashboard
The construction for designing the online web portal system for the school, approaches made should be clear, easily accessible and user friendly and it is very interactive to use. The dashboard designing approach needs these points in consideration:
· Make every aspect clear about the reaching goal of the dashboard to be designed.
· Only important content is being included in the design.
· Size and position must be mentioned for referring to the higher authority and hierarchy.
· The number context must be mentioned
· The metrics which is related are properly numbered.
· Consistency of the online portal
· Clear instructions and labels should be mentioned.
· Number rounding
· A check on the right behavior of the dashboard is increasing or decreasing.
The dashboard designing process started by explaining and defining all the stakeholders after that critical analysis is made and metrics are included which will support the information. After the prototyping, portal is done and feedback is collected and analyzed. After verification of prototype made, actual data is collected and considered and final dashboard designing takes place. (E. and Verbert, K., 2019)
The whole design process can be summed up into four main steps:
· Defining
· Prototype creation and its verification
· Building the dashboard
· Deploying all the ideas needed in the portal
Best practices are considered for visualization made and composing the whole work altogether in the dashboard itself. Many challenges occurred in finding the data and there was a need for creating queries for providing the power to the metrics.
After considering and critical analysis of the whole process, a fully functioning dashboard is created and there is a need for sharing of the web portal to every audience of the school. Enhancement methods are also deployed in the portal for making it very effective and management of its maintenance depending on growing users every day and changes to be made is also to be provided the same importance, so a failure does not occur in the running and proper information providing the function of the portal. There would be a requirement of change in the programs of the dashboard on behalf of change in the field, data sources, and according to the table.
The Chaucer School, Sheffield has developed the dashboard to solve some issues regarding storage and retrieval of information. The function of the dashboard is to allow the authorities of the institution to see and find readymade information about various aspects of school such as the number of students attending the school on a particular day, the number of teachers present on a day, the classes received by the students and other information. This information can be used by the school to organize their businesses and functionalities. It allows them to keep a tab on the processes and operations that have been conducted for a specific time frame or period. There are several benefits attached when designing a dashboard for an institution which has been summed up in the following section.
1. Key Performance Indicators can be identified with the help of dashboards that enables making quick and defective decisions. Schools can plan out strategies by looking at the KPIs which can be addressed by the authorities to improve the overall performance. Information is structured and visually appealing and often graphs and charts are provided which can help in providing easy isolations to complex information. Moreover, manual entry and working with data is eliminated when a dashboard is created and as such, time is saved which helps the schools to spend more time on other aspects.
2. Schools, often in rural areas, can suffer from high dropout rates because some students do not get any personalized care or service from the schools. As such, a dashboard would allow the school authorities to identify the students who are more likely to drop out of school. The school can take action for addressing the matter and help those students in turning over a new leaf when it comes to leaving schools. Moreover, the reason for the students dropping out in the first place can be identified which can be beneficial for the school in the long run. Thus, schools can see a rise in their revenues and fees collection.
3. The activities of teachers often go unchecked in a school setting because of their higher position in the hierarchy chain. As such, a dashboard would allow a school to monitor these school teachers. Teachers can provide information about their daily activities and other information such as the classes that have been conducted by them. Students can also be monitored efficiently with the help of these dashboards. Often a student might need more attention because of situations unique to them and as such digital dashboards provide them with a way to address these situations with relative ease. (Barrie and Paulson, 2021)
The dashboard is an effective tool to gain information and can also be used for data analysis. In the case of this report, the need for developing a prototype has been understood. The benefits of using dashboards such as providing easy access to complicated information have been derived from developing this report. The need for graphical representations rather than using textual or numerical data has also been derived since it is easier to assess and understand graphical information than textual or numeric data. Furthermore, dashboards can be used to address real-life issues and situations. As in the case of school dashboards, it can be used by the authorities to address problems such as dropout rates in schools, the performance of students and teachers, fees payments, timely conduction of classes, and so on.
After analyzing the whole project and information needed for the development of the dashboard, points of discussion can be made about the commercial dashboard performs basic information related to grades of the students and performance of every individual accessible for using the website portal. One of the other discussions can be mentioned as the method of finding the indication about the quality of the dashboard created. It can be illustrated that usage rate is the best indicator method to test whether the dashboard is good for use or it is successful or not. The more is the usage rate, the best is the quality of the designed dashboard.
The dashboard used by the stakeholders regularly confirms the integrity of the product, which means the designed system, is working at its best and there is no requirement of implementation in it.
From the above discussions concluded can be withdrawn as it can be concluded that there are many step processes for designing a well-performing dashboard and it includes, the gathering of ideas and viewpoints of the stakeholder as well as the users. The most effective way of doing this is by asking an important and related question for the features needed in the dashboard and discussing the advantages of using a dashboard portal in the school. The next few steps can also conclude that ideation and exact transformation is much needed. The data is inputted in the dashboard and only important terminologies are generated for clear understanding and processing. The conclusion can be made about the advantages of using the portal system will create an environment of proper functioning of programs and schedules in the school premises, and management of time is also an objective as this system will save a lot of paperwork and time. The report includes a case study of the mentioned school, where there is a need for delivering an IT technology on the current site. The goal will necessitate the creation of an IT technology application building block for the school. The analysis is being conducted based on the school's needs and the criteria that influence the development of the online dashboard for the school and to advise the stakeholders.
