These instructions are for migrating an Exchange mailbox in Outlook to Gmail. The migration is done in phases to lessen the impact on the employee's work.
Open Outlook
Click on File> Account Settings> Account Settings
Click on the mailbox
Click on Change
Check Cached mode
Move slider to the right until it says "All"
Wait approximately 30 minutes to an hour until the mailbox has cached on the machine
After the mailbox has cached, click on File> Options> General
Click on Export
Select the entire account
Create a new PST file
Wait approximately 30 minutes to an hour for the mailbox to be cached
Perform steps 8 - 11 from Phase 1
While the new emails are being archived, ask Bryan or Kevin to disable the employee's Exchange Account and enable their Gmail account
Migrate the PST to Gmail with the Outlook to Google migration tool
Wait approximately 3 to 4 hours for the migration
Merge calendars in Google Calendar
Clean up labels in Gmail
Confirm with user that emails aren't missing
