Drop-Off Vendor Guidelines

What is a drop-off vendor?  

These are businesses that provide academic or elective support for students in chunks of time longer than 2-hour blocks within a single day.  You are leaving the student under the vendor’s supervision and will return later to collect them.  Funds can not be used on overnight services.

What is the parent/guardian responsible for if using a drop-off vendor?

It is very important that the parent/guardian continues to oversee the education and ensure that all subjects are taught every learning period.  Each student needs a well-rounded education that aligns with the Department of Education's daily/weekly instructional minutes for the child’s grade level. Most drop-off vendors focus on 1 or 2 subject areas; the student should continue to receive direct instruction or independent study in the remaining subjects every learning period.  

What is the maximum number of days a Heartwood student can attend a drop-off vendor program?  

• If the vendor provides CORE academic instruction covering all or some of the main courses in the master agreement (English Language Arts, Mathematics, Science, Social Science), the maximum number of days is 3, not including additional tutoring time.  All student funding in each drop can be used to support services provided by this vendor, as long as the student is receiving academic enrichment.  Examples of drop-off vendors in our area are Serres Station, VILDA, Beehive, and Sonoma Earth School.

  • Funds can not be used for membership fees, material fees, administrative fees, punchout cards, or anything not involving direct instruction

• If a vendor provides support in areas outside of CORE academics (e.g., sports, arts and crafts, visual arts, etc.), the maximum number of drop-off days for a single vendor is 2 per week.  No more than 40% of students' funds for the year can be used to support these services. Examples of non-academic drop-off vendors in our area would be Crossroads Ranch, Kindkin Collective, and others

Can I use funding provided by Heartwood Charter School for drop-off vendors?

Yes, funds can be used.  The vendor must be approved, meaning they have gone through a background check and completed an application.  We do not process reimbursements.  No more than 40% of a student’s funds can be used for non-CORE academic vendors.  No more than $400 per month may be used for a single service vendor that offers CORE academic services.  OPS orders must include in the description the subject(s) taught and the days of the week on which the student receives direct instruction.
