Parent and student monthly contact DO NOT have to be completed on the same day.
If you only communicate with a parent, log as MONTHLY P/G CONTACT.
If you only speak to student, log as STUDENT CONTACT.
If you communicate with BOTH the student AND the parent, you can log it as BOTH by checking MONTHLY P/G CONTACT and then checking the Student box.
Student monthly contact must be verbal via phone, zoom, or collaborate (no text or email is allowed), unless the student is in GAS.
Log all verbal conversations with students to avoid overdue student contact (SC)
This can include DBAs, questions, etc.
If a student is in GAS, a student monthly call can be logged as successful with two way communication via text or email.
If a student is NOT in GAS, verbal communication is required.
Always open Educator gradebook when talking with a student to review successes and set goals
Parent monthly contact should be parent’s preferred method: call, text or email, but if a student is not in GAS, an attempted call is required.
During the Welcome Call, ask parents their preferred method of communication and log in flex comments for each student: Call (verbal), Text, or Email
If the parent has not noted a contact preference with the instructor the parent must be contacted via phone, voice to voice
Contact each parent for verbal two-way monthly contact, unless the student is currently in Good Academic Standing.
STUDENT COMMUNICATION WHEN
IN GOOD ACADEMIC STANDING
You can log a student email or text conversation with students IF students are in Good Standing for students, which means:
They have a grade of 80%+ (79.5%)
They have worked within the past 7 days
They are less than 4 weeks over the course average weeks to complete (less than 20 weeks active)
ALL three must be true in order to log a student MC that is not verbal
PARENT COMMUNICATION WHEN
IN GOOD ACADEMIC STANDING
You can log a a one way text, email, or attempted call/voicemail as a successful parent call if the student is considered in Good Academic Standing, which means:
They have a grade of 70%+ (69.5%)
They have worked within the past 7 days
They are less than 4 weeks over the course average weeks to complete (less than 20 weeks active)
ALL three must be true in order to log a student MC that is not verbal
#1- If there is a concern and the student has not worked in over 7 days, parents must have an attempted phone call made for the week (within last 5 days). We want to keep our parents up to date with any issues.
Our Monthly Call Best Practice is to begin attempted contacts within 10 days of being overdue.
Steps for Attempted Monthly Contact with Parents of students that are NOT in Good Academic Standing:
Step 1: Make a phone call attempt to parent and leave a voicemail requesting to speak with them
Step 2: Follow up with a text message asking to speak and include student progress information
Parent Responds through Text or Email but not Phone Call:
If parent responds to text or email and you have meaningful two-way communication with them, log this as a completed parent monthly contact.
If you have tried to call the parent for a PMC within the past 5 business days, and they reply to a written communication attempt, you can log the meaningful 2-way written communication as a PMC if the student is not in GAS.
Parent does NOT respond at all:
Make two attempted phone calls within 5 days. Also send attempted text messages or email to elicit a response.
You can also request a teammate or TOA to attempt contact.
