Students that are in your Classroom Assigned (CA) have been recently placed in your class, but have not yet completed a welcome call. It is important to check your CA everyday to ensure you are seeing all new students in your class.
Once you setup your filters, they will be saved for future use. It is a best practice to remove the “Ready to be Activated” filter once a week to ensure you are not “missing” anyone. When you have a big handful of students in your CA, you can add the CA date to your filter to easily see the new students that were placed on a specific day.
Welcome Call Process
Days 1-2– Send out a 1st Welcome E-mail & send a welcome call text to see if the student can complete the welcome call within a day or so; make a 1st WC attempt within 48 hours.
Days 5-10– Make a 2nd WC attempt & send a 2nd WC text
Day 14-- If you have not heard from the student, send a text message the day before your Never Activate the student with hope to reach them
Welcome Call Best Practices
Call ALL numbers within 14 days of the student being placed in CA.
Data shows the faster you contact a student when placed, the higher the success rate of them completing the course.
Here are some suggestions for being successful while reaching students:
Send a text message before you reach out to the student by phone call:
Hi __! Welcome to your English 1 course! I am Mrs. ___, your teacher! I would love to set up a time to speak with you to officially welcome you to the class! Is there a day/time that is best for me to call? Please go ahead and review the welcome packet, and feel free to get started working: https://tinyurl.com/y59tt8t4 I look forward to speaking with you and your parent/guardian soon!
Send a text message to the student and parent (in a group) if you have not reached them after the first attempt.
Try different #s at different times of the day
Send a group text to all cell #s if you do not hear from the student or parent in your second attempt
Please use the WELCOME CALL TEMPLATE to log ALL Welcome Calls in VSA:
