Preliminary Scope of work is an elaboration of the original pitch, where a more detailed plan of the exhibition including some logistical elements is laid out.
Create a set of parameters that defines, for the Exhibition Team, the project’s boundaries.
These fall into two categories. The first is to provide logistical and practical information. This can include:
Working title
Exhibition opening and closing dates
Exhibition location/hall
Assignment of team members
Number and type of objects
List of primary tasks for each Division (e.g. Developers will write label copy, Exhibition Designers will create floor plans, etc.)
In the second category are those items that are qualitative in nature, or which provide guidance on how some aspect of the project should be approached. This includes:
A summary that provides a sense of the exhibition’s proposed impacts and visitor experiences
Notes for each Division that serve as limits or descriptors of unique circumstances or needs. These are not the typical nuts-and-bolts items described above as “primary tasks,” but are parameters to establish the qualitative nature of the show:
Number and/or type of media and interactive components
Opportunities for or limits on immersive experiences

The assigned Project Manager works with the Operations and Planning Directors to create a draft scope of work document (anywhere from 1 -3 pages in length) that will be presented to the Directors’ Group (Director of Exhibitions and the five Division Directors) for review and discussion. The Draft Scope of Work is then revised and finalized before team meetings begin.
