Deliverables

Exhibition Developer: Completed show text, formatted for translation (Standard development text doc, cleaned up, with one column for metadata, one column for English, and one blank column for Spanish)
Exhibition Developer: Prepare a document that describes the style, voice, and vocabulary for translators
Project Manager: Send Spanish Style guide [link], when working with new translators
Special Note about videos:
- Translators would like to see English captioned video files when doing caption translation
- If .srt files exist, translators (MultiLingual) would prefer to translate that document rather than the script

Timing

Sample timings for various sized shows:

Large Temporary Shows (Halls 5/6/7)

Over a three week period, FM designer will layout English text while ML translates the text to Spanish
On delivery of translated Spanish text at the end of week three, FM designer will have two weeks to layout Spanish text
Upon completion of the Spanish layout, our Preference is to have Ana Grinberg proof Spanish pending her availability. Lead Developer will share the graphics via GoProof with Ana Grinberg for final proofing. Typical turnaround time is 1 - 2 weeks depending on the number of files and the size of the exhibition, but can be longer depending on Ana’s availability.
If Ana Grinberg is unavailable, the Lead Developer will share proofs with the translation company for proofing. The expected turnaround time is 1 - 2 weeks depending on the number of files and size of the exhibition.

Medium Temporary Shows (Comer, Brooker or Rice Gallery)

During the same week, FM designer will layout English text while ML translates the text to Spanish
On delivery of translated Spanish text at end of week one, FM designer will have
the following week to layout Spanish text
Upon completion of the Spanish layout, the Lead Developer will share the graphics via GoProof with ML for final proofing. Typical turnaround time is 2-3 days, but can be less

Small Temporary Shows (Science Hub, miscellaneous projects)

NOTE: English and Spanish layout can either be done separately or at the same time for small shows only
During the same week, FM designer will layout English text while ML translates the text to Spanish
On delivery of translated Spanish text at end of week one, FM designer will have the following week to layout Spanish text
Upon completion of the Spanish layout, the Lead Developer will share the graphics via GoProof with ML for final proofing. Typical turnaround time is 2-3 days, but can be less

Participants

Project Manager: Responsible for managing the relationship with the proofing company. This includes initial inquiries, estimates, contracts, schedules, and payment.
Exhibition Developer: Responsible for managing the proofing process, including proofing of translated elements. Generally, the Project Manager will introduce the Proofer and the Exhibition Developer and let them arrange the specifics of platform, deliverables, and timing.
Graphic Designer: Responsible for inputting translations into graphics files and making updates based on proofing comments

Translation Companies

Multilingual Connections

PM will send word docs, timeline, project voice summary to field@mlconnections.com, cc lead developer to ask for a quote. Once the quote is received, PM will approve or reject the service.
Timing:
- Getting a quote and project approval usually takes a few days (can take longer if confusion about files)
- A large show has a minimum turnaround timeframe of 22 days
- Note: Science Hub size shows (less than minimum cost) take 2–5 days once approved
Temporary Exhibition Translation Cost:
- Large temporary shows typically have a word count of 15,000–20,000 words, which would cost approximately $2,400–$5,500.
- Medium temporary shows typically have a word count of <5,000 words, which costs approximately <$800
- Small temporary shows typically have a word count of <1,000 words, which cost approximately $100 - $200
Permanent Exhibition Translation Cost:
- Large permanent hall shows (i.e. Evolving Planet, Hall 8) typically have a word count of <65,000 words, which would cost approximately <$10,000
Proofing
- Multilingual will proof the Graphic PDF’s for $95 an hour. For projects that fall under the project minimum, it’s rolled into the project minimum.
- For larger shows, the PM can ask for Multilingual for a quote to proof the graphics in the event that Ana is not available to proof the graphics.
- Lead developer to add the translator to GoProof at the appropriate time. When proofing is complete, the developer needs to let the translator (&PM) know that the process is complete and they can now submit an invoice.
