The graphics spreadsheet is the comprehensive list of every print piece being produced for the exhibition.
This spreadsheet is the document that will be shared with the vendors (or in-house staff) producing the graphics. Therefore, it is extremely important that every item on it be accurate. The spreadsheet is also used by the graphic designer to track the files as they send them off to production, and to confirm the final graphics once they are delivered.
A completed graphics spreadsheet will contain a line for each individual graphic with the following information:

Graphic code
Size
Substrate Material
Mounting Method
Special Instructions

Graphics Spreadsheet template should be set up between the Concept Direction and the Preview, following the creation of the label hierarchy by the Exhibition Developer. The Exhibition Designer creates the spreadsheet.
The Graphics Spreadsheet should be completely filled out 2 weeks in advance of the Reality Check 2 to allow graphics producers time to provide a quote for the reality check.

The spreadsheet will be shared with the vendors in advance of the Review in order to get a final price quote. While the document remains editable after that point, any changes made MUST be flagged and agreed upon by the Graphic Designer, Exhibition Designer, and Production Supervisor.
The graphics spreadsheet should be used by the Project Manager, Graphic Designer, and/or Production Supervisor to check-in the delivery of all completed graphics.
