Ending webinar and sharing the link

When you stop the webinar, you end the webinar for all and you won't be able to do a wash up afterwards.

Accessing your recording link after the webinar

Ensure you have read and understood the different ways you can access and share your links

  • After you have ended your virtual meeting / webinar, Zoom may take a few minutes to process your recording link. This link will be sent to the person who has organically scheduled the meeting. If the webinar was very long it can take some hours before the link will be available.

  • You should receive an email from Zoom like (see pic).

IMPORTANT!

Zoom has two stats for views: Total views and On-demand views - please understand the difference before you share your on-demand link.

Total views

This doesn't give an accurate figure of who / how many people have actually viewed. It is just how many times the link has been clicked - including staff and panelists who may have clicked it multiple times. To access this figure:

  • Click Recordings on your Zoom account. Then select the webinar of your choice.

  • You should now be able to view total Views and total Downloads under the webinar title. You can find futher detailed analytics of this when clicking on Recording Analytics.

On-demand views

By turning on the on-demand function at the end of each recording, you are able to see the accurate number of unique views of a specific webinar and view delegate information. This requires a (short) registration for delegates when accessing the Zoom link in order to gather this information. NB. This does not send delegates to the Configio page.

How to Make your webinar on-demand

  • Go to your account and click Recordings - you will see a list of your recordings on the right hand side with the most recent at the top

  • Find the recording you need and click the Share button

Another window will pop up - Share this cloud recording.

Event team recommend the options selected. Each event can vary so please select as appropriate to your individual event.

Must

  • Turn off Viewers can download (unless you are only sharing the link with an ICAEW staff member who needs to edit the video).

Tips

  • You can also find the same on-demand link that was sent via email under Display detailed information.

  • Click the downward chevron and you should be able to see the full link information.

  • The Copy sharing information to clipboard link will mean you can then paste the link information into an email, etc.

Registration settings for on-demand

Still in the Recordings section of your account, click on your selected webinar

There should be a section that should now appear at the top that states This recording is on-demand now (see on the right).

Note: This will only appear if you have selected On-demand option from the Share this cloud recording section above.

  • Click Registration settings as shown here.

  • Edit and save the On-demand settings as shown below - in the Registration and the Questions tabs, if appropriate to your webinar.

The Questions settings we have given show the minimum amount of data ICAEW would expect to collect from on-demand registrations (First Name and Email are required - a Zoom global setting - and we have added Last Name).

Viewing on-demand registrants

To view the number of delegates viewing on-demand:

  • Click View registrants back on the specific recording page.

You will be able to see the list of delegates who have signed up to access the webinar on-demand.

You can also pull the list off as an Excel spreadsheet.
