Meeting recordings

Data protection (GDPR) legislation is strict on the storage of recorded information - including recordings of Zoom meetings!


If you wish to record a Zoom meeting, please ensure that the necessary consents have been obtained i.e. that participants are happy to be recorded, and that the recording is kept for no longer than is required to fulfil the purpose for which is recorded.

Guideline time limits for storage of recorded Zoom meetings


  • 2 - 3 months - a meeting we may refer back to

  • 6 months - Evidentiary information required to create minutes

  • 1 year - Information that is important to refer back to


Details of any recordings to be kept for a period which deviates from these guidelines should be sent to dataprotection@icaew.com for review.

Downloads of recordings


Downloads of Zoom recordings are not to be used for any purposes outside of what has originally been communicated to the data subjects. Should you wish to use the recording in a new way, or share the recording with a wider group, please contact dataprotection@icaew.com.
