As this is a Wiki it will be updated when Zoom updates features and as we learn more about what best practice looks like for ICAEW.
Zoom usage at ICAEW
Use of Zoom at ICAEW is in line with the following guidance:
Zoom is not usually intended for internal use. You should use Microsoft Teams for internal meetings.
Zoom is to be used to run virtual events with external participants e.g. members, students, trainers, panelists, experts, interviewees, and the general public.
Our Zoom licences mean you can have up to 500 people in a session (webinar or meeting).
If your session has more than 500 people you will require the Large Meeting Add-on licence - this is a floating licence that you can specifically request - just speak to Martin Amos or Top Rana in ITD.
Any ICAEW staff member can have had an onboarding call with the Digital Product & Experience team if you feel nervous about setting up a Zoom session. Just let us know and we can arrange one.
Under our contract with Zoom we now have enough licenses for everyone. Let Top Rana in ITD know your email address if and when you plan to start using Zoom.
Zoom is on our ICAEW SSO - Single Sign On - so it will be the same password as you use for the VDI, Microsoft 365, iTrent, etc..
All Lifesize equipment in meetings rooms can be used for Zoom sessions - effectively turning all those with AV capabilities into webinar suites. See Zoom on Lifesize for instructions.
But... Configio is not connected (yet)
As Zoom is new to us we haven't yet linked it with Configio, our events registration tool, as this requires significant development work.
If your event requires pre-registration and payment, and you want to automate those registered being allowed access to the webinar then please talk to Events to see what the best route would be for your event.
