We are officially open for 2024-2025 GME Registration at Rady Children’s Hospital. Please forward the 2024-2025 GME Registration links listed below to your New and Returning GME Trainees.
To ensure timely processing, registration must be submitted at least 2 weeks prior to their rotation start date at Rady Children’s Hospital. If this registration is not received in a timely manner, your trainees will experience frustration and stress on their first day, as they WILL NOT be approved to rotate in our hospital.
Please encourage your trainees to complete this step as soon as they know their rotation dates/start date. For those specialties rotating at multiple departments, all rotation dates and departments should be listed in chronological order.
Note: with the exception of pediatric residents and pediatric fellows, all rotations at Rady Children’s should be listed in accordance with their department specialty schedule. Trainees should not list 2024-2025 only. Accurate dates are required in order to process their computer access according to the start date. It is important for your trainees to be aware that not logging in with their credentials within 90 days after their access is created, will result in their account being deleted. It is extremely important for trainees to log in to their network account (via citrix if they are not on campus) at least once every 90 days to maintain their account active and prevent it from being deleted.
Please make sure the schedule for your program is complete and trainees know exactly when their rotation at Rady will be before you instruct your trainees to submit their registration.
Trainees can initiate their registration paperwork and submit it later once the rotation dates have been assigned (See image below). For this option, it’s important to save the “return passcode” as it is required to access their existing file, otherwise they will need to start it from scratch.
A complete registration packet includes the following:

· Medical Diploma.
· Postgraduate Training License, Medical License (Fellows) and DEA license (required for electronic prescription)
· CV must list all years of GME training, including 2024-2025 appointment.
· ECFMG Certificate (Foreign Medical School Graduates)
· Copy of Social Security Card or Marriage Certificate (If current name is different than the name on their medical diploma)
IMPORTANT: Returning trainees (Rotated at Rady Children’s during 2023-2024 or prior years) SHOULD NOT COMPLETE A NEW REGISTRATION; they should access their record by clicking on the link below:

A returning trainee should:
Update the academic year on the registration page from 2023-2024 to 2024-2025.
Update status (from resident to fellow) if applicable.
Update their PGY Level as of July 2024.
Update their personal information if applicable (e.g. address, phone, email address, etc.) It is very important that they keep their physical address updated.
Primary Institution Email Address is required. Please remind your trainees to update this field. (personal email is acceptable for military personnel only and temporarily for all others while their institution email is being created)
Complete all previous missed fields.
Enter newly obtained Postgraduate Training License and medical/DEA license information if applicable.
Enter “yes” to question # 53 (Have you rotated at Rady Children’s in the past)
Review new compliance training modules and acknowledge.
Delete previous rotation department data and replace with new information (field # 55). IMPORTANT: Accurate dates are required. This field is often missed or doesn’t get updated from previous rotations.
Update “Previous GME Training” field (Interns during 2023-2024 should remove “N/A” from field # 59 & 61 and update field appropriately)
Upload documents (Updated CV, PTL, medical license, etc) if applicable.
Sign and submit.

· Supported documentation must be uploaded in order for the application to be considered complete and ready for processing. Registrations missing supporting documents WILL NOT be processed and access will not be granted.
Once trainees submit or save their registration form, a confirmation email will be sent to them with a passcode for future access, please instruct your trainees to save this code in a safe and accessible place as they will need it in order to access their pre-filled registration during the upcoming academic years.
Remember that registration is required on annual basis. Please make sure your returning trainees submit the electronic registration prior to June 15th, 2024 (for July start date). This will ensure their computer access is extended for the new academic year (2024-2025). Failing to complete this step will result in Epic and network access to term on July 1st 2024. Please do not assume exceptions will be made for your program. All trainees must submit new registration without exception.
Any current residents who are transitioning into RCHSD-based fellowship will need to update their CV to reflect their new program. Current residents or fellows who are transitioning to RCHSD Medical Staff status will need to touch base with Medical Staff Services office at (858) 576-1700 ext 225913 for privileging information.
Check-In
Several weeks before you start at the hospital, the rotation coordinator will send you an email and ask that you log into their scheduling system (Intrigma) so that you can request certain days off, though these may or may not be honored as able. Make sure the folks at Rady know if you are supposed to have leave during this block to ensure that you are working a reduced number of shifts. Around this time, check in with the rotation director and Darryl to make sure all of the paperwork is completed so there are no hiccups when it comes to getting full access to the hospital for the rotation. You will have to drop by their offices several days to a week before the rotation starts to pick up the rotator badge and access card. This is really important because it is the only way to get into the ED their and allows you to park for free in the staff lot across the street from the hospital. When you pick up your hospital badge from her office, she will also walk you through logging on to the Rady system and teach you a little about how their EMR works.

There are 2 staff parking decks across from the hospital and access is free with your hospital badge.
What to Expect
Overall, this rotation is very similar to working at the NMCSD ED. Residents work 14-16 shifts during the course of their four weeks at Rady. The shifts are slightly different from those at NMCSD and are nine hours long; set up into 8+1 where you will see patients actively for eight hours and then work on notes/disposition of those left for the last hour while the next team starts seeing new patients. Turn over is essentially the same as well, but takes place with a computer and walking to each of that team's patients rather than a huddle. EM residents are scheduled in the Blue/Yellow pods as these are the more acute areas. Scrubs are the uniform of the day at Rady, but are not provided to rotators, so make sure to have a couple pairs of your own to wear.
The patient population is incredibly diverse at Rady and you will more than likely need to use the translation service in the ED. If you can, brush up on some medical Spanish before and during the rotation.
Depending on the season, certain things will be more or less common; expect a lot of croup/bronchiolitis during the winter months. Some things, however, are universal, like asthma and gastritis/gastroenteritis. There will also be a lot of fractures rolling through the ED and the orthopedists are more than happy to let other residents in on reductions and splinting, so take advantage of those opportunities to practice with people who do those all the time. There are also ample opportunities for other procedures like lumbar punctures during this rotation, so make sure to log all that you can.
Food
There is a cafeteria there open for breakfast, lunch and dinner, and if there is some down time, you may be able to get some food, though there is no free food available unless you go right before closing at 0200. There is also a Subway across the lobby from the ED. Sometimes a food truck will show up at night as well.
Pearls
Have another resident or attending show you the web paging system the first day so you don't spend time hunting for phone numbers.
Use the order sets when you can to make your life easier.
Pediatric trauma and medical resuscitations are not super common, so go to all when possible and log any, even if you are only peripherally involved to get your numbers.
Park in the visitor lot during your last shift and have your parking validated by security for when you drop your badge in the box.
