We will do our best to accommodate your specific geographical areas, but there may be occasion that requires you to drive. If you have a specific opening, we will accept cases on your behalf. Please promptly respond to us through E-mail or text message to confirm acceptance of the cases. The county will contact Management and they will in turn contact you with referral information.
CIS will obtain the child’s name and send it to you for you to access via the ER/IFSP report in Pelican. Occasionally, the ER/IFSP is not made available immediately; however we encourage you to at least perform an initial visit to complete paperwork. Contact Connie and the Service Coordinator if Pelican issues continue. You will also have access to the case details promptly in Provider Soft.
The county requires that you make your initial visit within 14 days of the date of the IFSP (Day 1 is the IFSP date). If this contact and initial appointment is not made within 14 days, you must document this with reasons on the initial session note (i.e., referral was received too late, parents did not return phone call, family on vacation, etc.) and contact the Service Coordinator. To find the name of the Service Coordinator for each case, please check Provider Soft or in Pelican. Service Coordinator information can be found here. The 14 day rule also applies after consults. Use the date the services were approved as the starting date for counting the acceptable time frame.
Document the initial referral conversation between you and CIS or the county on the communication log in Provider Soft.
Always be aware of the service frequency before starting a case (this should be set for you in Provider Soft). If the IFSP is not available right away, ask the Service Coordinator to confirm this information with you. Do not assume you know the service frequency. Please note that if you are assigned a case in which there are behavioral concerns requiring an FBA to be done—you are authorized for 12 units for that assessment.
If you anticipate an opening in your schedule and would be ready to take a new child, please contact Sonja or Dennine or Ann as soon as possible.
It may be necessary to refer children to other professionals for evaluations or care. Examples of these specialties are ENT, Developmental Pediatrician, etc. We recommend that you contact the Pediatrician to suggest the need for these services, and document this on your communication log. Complete the Release of Information form and provide it to the doctor’s office if necessary in Provider Soft. Please notify the Service Coordinator to keep them informed.
