There are two options for marking a bidder as paid in the software.
Navigate to the option titled "Auction Day" on the left hand side of the software. Underneath that option click on the word "Settlement." This page will display all of your bidders/sellers.
There are 3 check boxes at the top of the page. Checking the Bidders box will display all bidders who registered for this auction.
The list of bidders will display the bidder name, bid card #, how many lots they won, and their balance. To process an individual customer click the View Settlement button next to their name.
Viewing the settlement will give you several options. You can Print a hard copy of the settlement as is, Email a copy of the settlement to the bidder, or Add a Receipt. To mark that payment has been taken click the Add Receipt button.
On the Add Receipt window that appears you will select the type of payment method the bidder used (cash, check, etc.)
Enter the actual amount being paid.
Enter any notes you deem necessary (such as a check number.)
Click the Save button on the bottom of the window.
Once you save the payment you will be directed back to the Settlement Details window where the Customer Balance will now reflect the payment you accepted.
You can now either print a hard copy of this settlement or email the settlement to the bidder showing that their payment was accepted and logged.
Repeat this process with each of your bidders until finished.
If you are using our Integrated Credit Card Processing option through CurrencyPay a separate button will appear on the Settlements page. This is the Batch Process Credit Cards button. Clicking this button allows you to process all invoices with an outstanding balance at once. This option attempts to charge the card that the bidder registered with for this auction.
If you have customers that have informed you that they do NOT want you to process their card, check the Cash Buyer box next to their name.
If this is checked, that bidder will be excluded from the batch process.
You can also process a single customer by clicking on the View Settlement button and clicking the Add Receipt button.
This will display the window seen here.
From this window click the button labeled "Pay with HiBid Credit Card On File." This will attempt to charge the card that this bidder used when they registered for this auction.
Once you've obtained payment from your bidders you can move onto the final step, "Paying Your Sellers."
