This section covers steps on adding lots manually to your catalog. If you prefer to use the Importing method please visit the Importing Lots section of the guide.
To begin Construction of your catalog navigate to the Pre Auction section of the software. Underneath this section click on the word Lots.
This area allows you to fill your catalog with items.
When you first enter the Lots page you will see a few empty columns and several buttons. The columns will remain blank until you add your first lot.
Clicking the Add New lot button will bring up a new prompt for you to add a Lot.
The New Lot window will contain the following fields:
Lot Number: This field is where you will enter the lot number.
Seller: This field is where you can select the seller of the items. If you are selecting an existing seller, that person must have a record in the Customers section of the software AND they must have the Seller check box enabled.
New Seller Button: This button is used to enter the credentials of a new seller. (explained further below)
Quantity: This field is where you will enter the Quantity of the lot.
Title: This field can also be referred to as the Lead. This is a brief description of the item to let bidders know what the item is at a glance. The field does have a 50 character limitation.
Group: This field allows you to place this item into a specified group or category. These are the same categories that are used by bidders online to browse within certain parameters.
Description: This field is where you can continue describing the item in more detail if the Title field was not large enough. There is no character limitation to this field.
Clicking this button will allow you to add a new seller while cataloging without having to visit the Customers section of the software.
The New Seller button will display a new window when clicked. This window will allow you to create a new customer record and will contain the following fields:
There is also a "Tax Exempt all Purchases" checkbox and a "Seller" checkbox.
The Seller checkbox should be checked in order to indicate that this person does intend to consign items with you.
To add image to the lot you can open a folder on your computer that contains the photos for your lot, highlight the images, then drag and drop them onto the designated area at the bottom of the New Lot window that says, "Drop Files Here to Upload."
You can also click on that same designated area and a navigation window will appear. This will allow you to navigate to the folder on your computer where the images are stored. From here you will highlight the images for the lot and then click the Open button.
Once you have your Text and Images entered for the lot you will see two different Save buttons along the bottom of the window.
Save / Next: When you choose this button the system will save your lot and then immediately open another New Lot window with the next available lot number. This is used if you're entering items very quickly.
Save/Edit: This is used if you want to save the lot and then open the Lot Details screen.
You will also notice a check box next to the Save/Next button. Checking this box will change the button to say Save/Copy to Next. Clicking the Save/Copy to Next button will save the lot you're on and open a new lot field with all the same information already entered. The only difference will be the lot number. This is used when you have several duplicate items that you want to catalog very quickly.
At any time during your cataloging process you can navigate back to the Lot List page and view your growing catalog at a glance.
Here is an example of two test lots after being entered.
You can also search through your existing catalog to find lots. The search bar is located at the top of the Lot List. This search bar uses the Title and the Description fields when searching.
Once you have your catalog created you can move onto the next step and Upload it to HiBid.
