Clinic and Lab Services
General Information/Access Instructions
Studies that plan to utilize lab, Child Family Life, or interpreter services must complete the MIDB Request for Service form. In addition, three weeks prior to scheduling services, studies need to submit the MIDB Lab Protocol Document to midbresearch@umn.edu for review.
Studies that utilize lab services (not interpreter of CFL services) need to be in OnCore for billing purposes. Studies that were not entered into OnCore during the IRB initiation process can enter their information directly into OnCore via this link. Please refer to the OnCore training guide to determine what fields are required.
*NOTE: The CTSI offers an OnCore entry service that will enter your study into OnCore on your behalf. For more information, please submit an email to oncore@umn.edu with the request including the ETHOS study number (if available) and CTSI number (if already assigned).

Lab Processing Update:
The clinic staff are now trained in simple lab processing. If a study would like to access this service, the following steps need to be taken:
Processing guidelines need to be added to lab protocol documents
Lab protocol documents need to be reviewed by the clinic team to ensure that processing requests fall within scope for the clinic team. All studies, even those currently utilizing the lab, need to do this step.
Once lab protocol has been updated, please send to the MIDB Research email: midbresearch@umn.edu
Lab protocol documents will be reviewed within 2 weeks. Clinic leadership will reach out with questions, clarifications, and approvals. Once this approval is received, clinic can start processing specimens.
Studies need to be aware of additional charges. Cost for clinic staff to process labs:
Child & Family Life (CFL)
We are currently in the first phase of integrative CFL services into research. Below is an outline for how to engage CFL services in your research session. Please note that we are rolling this out in phases, and in this initial phase, only studies that utilize MRI will be eligible to engage CFL services. If your study involves MRI, please follow the workflow below to incorporate CFL in your research session:
Step 1: Schedule 45-minute intake meeting
This meeting will help determine if CFL support is appropriate for the study, identify the needs, and develop parameters for when to reach out to CFL. If a study is interested in engaging CFL, they should invite the MIDB Child Family Life Google calendar to an event. In the event description, please note study title, PI, and MIDB meeting location or zoom link. The initial intake meeting should be scheduled at least one week prior to the first research session you hope to engage with CFL.
CFL Calendar Instructions:
Click on the CFL Google calendar link
Click "add to google calendar" located in the bottom right-hand corner
A new calendar tab will open. Click on the "Add" button that pops up
From there the CFL calendar will integrate with your umn.edu account calendar, and you can invite the CFL to events
Step 2: Schedule CFL via CTSI portal
If the intake meeting determines that CFL is appropriate, the study should reserve time in CTSI portal (the CFL Resource). The MIDB Clinic staff will import schedule info into Epic weekly. Just as with other clinic services, a shell MRN is created for participants. If the visit is scheduled short-notice (<48 hours), researchers should schedule the visit in the portal and call the MIDB Clinic front desk (612-365-8400) to confirm availability.
Availability:
Please note that CFL will only be available to researchers during certain times - Mondays (11:00 am- 4:00 pm), Wednesdays (9:00 am-4:00 pm), and Fridays (9:00 am-4:00 pm). The CTSI portal resource and Google calendar will reflect this availability.
If you were not able to attend the CFL introduction meeting and have additional questions, the slides from that presentation can be found here. This is a new process, so there may be a few bumps. We'll be listening to feedback and revising when necessary as we go. As always, let us know if you have any questions.
