FedEx boxes are picked up at 12:00pm. Make sure to take the boxes down when you are done.
Prep checklist:
Organize all items by destination
Note the other library's ILL# BEFORE packaging
FedEx items should be placed in the office tray labeled "FedEx" right next to "Scans"
Before you begin shipping, organize all items by destination so they can be packed together if possible
Open FedEx.com and log into the ILL account
At the top menu, select "Shipping" > "Create Shipment"
Start with Box 1, "Deliver To":
In the "Search in Address Book" field, input the 9 name of the school or institution
If the address is not already saved in FedEx, go to OCLC and look up the address of the school or institution and then input the information into FedEx. Do not forget to press "Save as New Recipient in Address Book"
Move to Box 2, "Service Details":
In the "Service" field, choose "FedEx Ground'
In the "Additional Options" field, choose "Add Shipment References" and scan the OCLC number starting with a 2
If there are multiple books in the shipment, put each OCLC number in a their own reference box under the "Add Shipment Reference" subcategory
If there are more than 5 books in a shipment, put a comma and a space between the OCLC numbers
Move to Box 3, "Package Details":
Make sure that in the "Packaging" box, "Your Packaging" is chosen
Weigh out the book/books and record weight to nearest 0.25 lbs
0.53 --> 1.00, 1.09 --> 1.25, etc.
Move to Box 4, "Add Shipment Notifications":
For the "Shipper Email Address" category, make sure that the email address is changed from "mdebartolo@ucsc.edu" to "ill@ucsc.edu"
If there is a "Recipient Email Address" category, enter in the email address of the school or institution
The email address may be on the paperwork
If not, look up the school on OCLC and the email address will be found under the "Contacts" tab
Click "Finalize"
Click "Download PDF" under "Shipment Label"
Make sure printer is set to "Zebra 500 (Copy 1)"
Bring all packed FedEx boxes to operations
Make sure the box you choose will fit all books without leaving holes
Make sure tape covers all main seams
Make sure printed slip is adhered to the box's flat side and covers up any remaining shipping labels on the box, if using a used box
Note: Do NOT ship to a PO box
Enter as follows:
Company Name: Name of institution
Contact Name: Name of library AND Interlibrary Loan (can abbreviate to ILL)
Address: Confirm that Worldshare Policies Directory address and paperwork address match
Phone number: Look this up in the Worldshare Policies Directory.
Click the purple "Perform detailed address check" icon
If accurate, the message will read: "This is a valid address"
If there is a problem, do further checking or ask staff
If everything is accurate and validated, check "Save new recipient in address book" for future use
