Notification: Student Affairs Committee

All HOD’s and Dean are advised that for any exceptions to the rules, or changes in schedule for classes or exams, or any other student affairs which go outside our standard procedures, they should send the students to the Student Affairs Committee. They should not try to use their own judgment to handle affairs, since this leads to unequal treatment – some students receive one response by one HOD, while other receive some other treatment in some other department. The Dean and HOD’s should of course handle normal situations falling under our rules and regulations, but all exceptions should be referred to the Student Affairs Committee.

The Student Affairs Committee should use the following protocol. Initial inquiry can be made verbally by student to the Head of the Student Affairs committee: Dr. Junaid Memon. In case Dr. Junaid Memon is not available, Dr. Ejaz Ghani, Dr Iqbal and/or Dr. Ayesha Kulsoom can be consulted. If the matter is simple, and can be easily disposed off by a phone call or some simple action, the Head of the Committee is authorized to act without convening the committee. HOWEVER, he or she must consult relevant HOD to ensure that policy is consistent, and that the students are providing a complete picture. For any other matters, the students must prepare a written petition, which should be considered by the committee with at least three members present. The committee should prepare written recommendations and then submit to HOD, Dean or VC according to the nature and gravity of the issue involved. Final decision should be left to higher authorities, to be taken after consulting all affected parties, keeping the relevant HOD’s in the picture.

Student Affairs Committee has been re-constituted as follows:

In absence of the chair, first point of contact for the students for initial inquiry may be Dr. Ejaz Ghani or Dr. Iqbal or Dr. Ayesha Kulsoom as indicated earlier. Except in very simple cases (or in cases requiring confidential treatment), students should be asked to write a written petition summarizing their position. Committee quorum will be three member; co-opted members from relevant department may also be included in this quorum. Committee should meet to consider the case submitted via written petition, and submit written recommendations. These should be channeled to HOD, Dean and VC through proper channels. HOD’s, Dean and VC will not entertain DIRECT requests for any exceptional treatment from students. ONLY written requests by students, with written recommendations by the Student Affairs Committee should be considered.

NOTIFICATION: Rules, Regulations and Procedures for Facilitation of Student Affairs.

ADDITIONALLY, a second committee is being formed to formulate RULES & REGULATIONS for Students. The task of this committee is to look at all areas where students have encountered problems in the past. These include attendance records, submission of Degrees in cases of conditional acceptance, and many others. The committee should consider these areas and pro-actively formulate procedures to be followed so that these problem do not arise, or are minimized, in the future. They should formulate rules for the students, as well as procedures to be followed by the departments and the Registrar and Controller, so as to prevent these problems.
