Resource Release procedure & Offboarding for CoE Leaders
Fill out resource release form (CoE Leader- voluntary resignation)
Send an email to Opsbackoffice@lean-tech.io / Training@lean-tech.io / Placement department, and specify if you have the resource available part time or if you wanted to offboard him/her.
Take into account to send the information at least 2 weeks before the release
Please take into account, the resource release can be sent from a CoE leader mentioning that the person still has assignments and that he/she might be released in x amount of time. This apply if the CoE leader wants to have one of their resources proactively submitted.
Resource Release procedure & Offboarding- From AM & PM
Fill out resource release form (Manager- voluntary resignation) (at least 2 weeks before the release )
Send an email to Opsbackoffice@lean-tech.io / Training@lean-tech.io / Placement department, and specify if you have the resource available part time or if you wanted to offboard him/her.
Backoffice will copy to CoE coordination in case the role corresponds to a CoE, to provide visibility regarding the resource release.
CoE Coordination will provide visibility to the CoE leader.
Review AirTable placement to look at bench-related data and opportunities.
If the collaborator will be part of the CoE department, this must be informed in the email to Opsbackoffice@lean-tech.io / Training@lean-tech.io / Placement department, to provide correct visibility; additionally this resource has to be approved from Luis Encinales or Maylinn Gomez to be part of the CoE.

Description: Monthly allocation and capacity report on the tech partners tab, expertise tab, according to the assignments.

Description: Provide and complete the ticket/ request updates, according to the assistance provided, and taking into account the dates o be deliver.

Description: Monthly meeting to set and complete the talks agenda, and review general spaces KPI's.

1 time, during the first week of each month, meeting is already scheduled.

Framework: Through the Form, everyone can recognize actions for their team members if those actions are aligned with the categories mentioned on the document, so they must give the recognition in public and fill the form to track those points. At the end of each month, the warriors who accumulate more points per category must be recognized by their leader to the entire department and their remarkable actions must be shared within the department.

Please take into account the next information if you're going to be OOO:
Leader and alternate, it's not possible to take those days at the same time.
The alternate/ person in charge has to be included in all meetings already scheduled.
CoE Leader provides a document with all the pending tasks, this document must be shared in an email to CoE coordination and CC to the alternate/ person in charge. Also, take into account the following:
Internal bills, CoE allocation report & administrative tasks
Initiatives & OKRs
Weekly & individual meetings with CoEs
Meetings with their team or other ops division (Ops meeting, Project deployments)
Operational CoE tasks
Update your personnel Google Calendar & TechLab Service interruption calendar with OOO status, during the vacation- Days off time.
Leaders have to inform and send a message through TechLab - SMEs Slack channel and Operations indicating that it's going to be out and who is going to be in charge of the department during that time.

Encourage your team members to participate actively in their Slack channel

Create a structure to have constant communication through your team channel, providing information of interest
