Knowledge Transfer process

Ensure the correct knowledge transfer once a collaborator starts an offboarding process of the current project/ account. The document contains the main points to take into account during the whole process, ensuring the newcomer will have all the documentation, tools, and project/ account information to start correctly their functions.

This process applies to our centers of excellence, on each CoE you can find the technical content must taken into account for the knowledge transfer:

Resource release

CoE coordination: resource release review on Power Q.

2. CoE Request

CoE Coordination: Received the CoE request, and assigned the SME to execute the process.
SME: Make sure the information and context are complete on the click-up card.
CoE Coordination: Guarantee the information is up to date.

3.Risk Level review

SME: Make sure all the team members complete the form, and guarantee the correct documentation for each of them. Click up- Risk level,

4. Check up call

Meetings to define the knowledge transfer strategy, taking into account the release reason:
- Performance
- Resignation
- Customer budget
Employee fills out the KT document.

AM presents the SME assigned who will be executing the KT process to the client through a meeting

5. Execution (role Reception & Handover)

All information is documented.
SME: Provide all the information and support during a month to the newcomer.
SME & AM: Onboarding process support
Client POC: support for the new employee during a week.

6. ETK Measurement

CoE Coordination: A satisfaction survey is sent to the new employee.
Account manager sends the CSAT to the client.
CoE coordination analyzes general KPIs of the process such as:
- Meetings between the SME & Employee
- % onboarding coverage
- CSAT, ETKST
- KT duration
