College Reception
The opening hours of the College Reception are:
Monday to Friday, 0700hrs to 1800hrs
Closed on Saturday, Sunday & Public Holidays
Absence from school
All parents/guardians are requested to inform the school in writing in advance or phone before 8 am if their child is not able to attend school that day. Medical Certificate or parents’ excuse letter must be submitted on the first day back from the absence.
Withdrawal from School
Any student who wishes to discontinue his/her studies is required to present the parent’s letter to the Civics Tutor at least two weeks before leaving. The Withdrawal Form for School Leavers can be obtained from the College Reception and is required to be endorsed by the respective departments before the last day of school.
Medical Updates
All students are expected to update the school with documentary evidence through their Civics Tutors regarding any ailments or allergies. They should also update the information on the Intelligent School Portal (ISP). This is such that precautionary measures can be taken for Physical Education lessons and practical sessions, and for classroom arrangements to be facilitated.
Student Particulars
In the course of the year, it is the responsibility of the student to inform his/her Civics Tutor of any change in personal particulars, e.g. address, telephone numbers. The student is also required to update the information on ISP.
Intellectual Property Rights and Data Protection Rights
HCI shall have the right to use, publish, reproduce or distribute student works, including translations of such works, in whole or in part and in whatever form, electronic or otherwise, in relation to its teaching, research, academic purposes or for the advancement of knowledge.
All content produced within Hwa Chong remains the intellectual property of the school. This includes photographs of students taken within campus and in public or overseas school events. The school reserves the right to reproduce images for documenting, promoting or celebrating through media coverage, official school websites as well as school magazines and prospectuses.
Students are advised not to violate copyright laws by reproducing, reselling or replicating material without prior approval of the content producers.
Copyright violations are taken seriously by content owners as these represent a serious breach of integrity and a disrespect for content rights.
These apply particularly to:
Lecture notes and all other course material bearing the school’s logo and/or name.
Administrative material pertaining to various school matters. Action will be taken against individuals found reselling any Hwa Chong material for profit.
Bookshop
Sale of stationery, uniform, PE attire and school collar pins are available at the bookshop during the academic term. The bookshop is open from Monday to Friday, 7.30 am to 4.30 pm (excluding public holidays).
Photocopying Service
Photocopying services are available during the academic term from Monday to Friday, 7.30 am to 4.30 pm (excluding public holidays).
Facilities Booking
Students should seek the help of their teachers in booking the relevant facilities for their activities.
Student Insurance
All students are covered under the Student Accident Protection Scheme against any injury due to accidents during school activities.

Communication with External Organisations
Students must not correspond with external organisation without the approval of their teacher. In addition, student groups who wish to invite external speakers or guests must first seek permission from the Principal.
Fundraising/Sponsorship Procedure
Student groups who wish to raise funds for an overseas beneficiary must inform Principal Consultant/Student Development, to seek approval from the Principal.
Student groups who wish to raise funds for local beneficiaries will need to register their project with the VIA unit via the ISP portal.
