Wool Free/Poly Free-Direct Orders
Placing a direct order when a United employee needs to exchange a previously received uniform kit for an allergy-friendly (wool-free/poly-free) kit. This process applies to employees who were initially provided with a standard kit but have since been approved for an allergy accommodation.
Verifying Allergy Kit Eligibility
The first step when assisting a customer who needs to exchange their items for wool-free or poly-free alternatives is to verify that their G&G profile has been flagged for this option.
To do this, click on the badge icon on the left, then search for the customer using their UID.
Next, click on the eye icon under "Actions" next to the United employee's information.
You are now in the employee’s G&G profile. Locate the section that says "Allow access to allergy kit." The indicator should be blue and display "Yes" to confirm that the employee has been approved for an allergy-friendly kit.

If the indicator is not blue and displays "No," inform the United employee that they need to contact someone at United to confirm that their RAP has been received and processed.

Building the Allergy Kit Order.
Now that we’ve confirmed eligibility, inform the customer that they need to initiate the return of their original items by accessing the portal.
Next, we need to begin placing the direct order. Click on the handbasket icon to access the Direct Order option.
Go to the "Direct Order" section at the top left and make sure you are placing the order on behalf of the employee, rather than using the "Open Order" option.
To do this, click the small black arrow next to "Open Order" and select the option to order on behalf of the employee.
Once confirmed that we are ordering on behalf of the customer, proceed to build the cart with the appropriate allergy-friendly items.

When shopping in Direct Order, it's important to note that all job categories and items will be displayed. To find the correct items efficiently:
Use keyword filters to narrow down the selection.
Check product names for job category indicators.

For example, "UA Men's CS Jacket Classic"—where "CS" stands for Customer Service—helps ensure the correct item is selected.
It’s important to note that many items from their original kit may not need to be replaced, as they are already free of wool or polyester.
For polyester-free requests, you'll need to replace the dress shirts and trousers.
For wool-free requests, replace the blazers (jackets) and trousers, and be prepared to assist with replacing the coat if the employee originally selected the wool outerwear option.

To simplify the filtering process, first determine whether the customer requires wool-free or polyester-free items. This will help narrow down the selection and ensure the correct allergy-friendly items are added to the order.
In the product name search field at the top of the Direct Order page, type "Wool Fre" or "Poly Fre" instead of spelling out "Free."
You might wonder why we’re not using the full word "Free." This is because the search function only returns exact matches, and many product names abbreviate "Free" as "Fre." Using this shortened keyword ensures you find the correct allergy-friendly items.
Next, ensure you are selecting the correct quantity of items based on the customer’s needs:
For polyester-free items: Order 5 shirts and 2 pairs of trousers.
For wool-free items: Order 2 pairs of trousers and 2 jackets.
Coat Exchange: If the customer previously purchased a wool coat, confirm whether they need to exchange it. If they do, search for "Tech Coat" in the product name search to find the appropriate replacement.
At this stage, follow the standard steps for placing an order. Before checkout, ensure all sizes and fits are correct. Additionally, have the United employee confirm their shipping address and remind them that the package will be shipped without requiring a signature upon delivery.
