Google Meet with Nickname

Workflow for each meet:

  1. Teacher starts meet with a Nickname from website.
  2. Teacher starts meet recording.
  3. Students Joins meet from website using a Nickname.
  4. All students leave meet or are removed.
  5. Teacher leaves meet.

Written Instructions

1) Navigate to the meet.google.com website.

2) Click the + Join or start a meeting button.

Enter a Nickname

(1) Type a Nickname for this meeting. The nickname must be unique to users at RCS so it is recommended to use something with your name.

Note: Although you can leave the nickname blank, a Nickname MUST be entered in order for the meeting to be inaccessible to guests after the meeting ends. See the notes at the bottom of this page for more information on using a meet without a nickname.

(2) Click the Continue button.

Meeting Preview

Check your device settings before starting the meeting.

(1) Mute or unmute the microphone.

(2) Show or hide the webcam.

(3) Click the Join now button.

Add others to the meeting.

(1) Share the meeting Nickname with guests; students or other user's with an RCS Google account.

These guests would go to meet.google.com and enter the Nickname after clicking the Use a meeting code button.

(2) Share the meet URL with guests who do not have an RCS Google account.

The Copy joining info button can be used to copy the meet information. This can be pasted into an email message that is sent to guests.

(3) Click the Add people button to send an email invite to guests who have an RCS Google account. The guests will receive an email with a Join Meeting button (see example).

Host Meeting Window

(1) Click to bring up screen with information on joining the meeting for guests.

Note: The Add people option is under the People windows (5) then the Add people button.

(2) Leave the meeting.

(3) Share the screen, one window, or video (coming soon).

(4) More meeting options.

(4a) Start the meeting recording.

(4b) Change the layout of how the guests are shown on the host window. (tile view coming soon)

(5) Click to show people window. Click the main windows to close.

(6) Click to show chat window. Click the main window to close.

Manage Participants

(1) Click the People button.

(2) Click to toggle the participant's microphone on or off.

(3) Click to remove the participant from the meeting.

End Meeting

1) Make sure all students have left meeting.

The participants menu should show People (1) which is just the teacher. If more students are left they should be removed (see above).


When the meet is over the teacher needs to be the last one to leave the meet. If students are left in the meet after the teacher they can continue the meet without the teacher.

2) Click the Leave call button.

Meeting preview options

(1) Microphone volume indicator.

(2) More options include Turn on captions, Settings, and Help.

(3) Starts the meeting in presentation mode. There will not be any participants visible in this mode.

(4) If the Internet speed is slow the meeting audio can be connected using a phone.

Google Meet without Nickname

  • It is not recommended to create a Hangouts Meet without a nickname for students with an RCS Google Account (use #2 instead).
    • Guests (students) with an RCS Google account can join the meeting using the meeting URL in the future without the host (teacher) needing to start the meeting.
  • Host (teacher) needs to start the meeting and does not enter a nickname.
  • Guests (students) with an RCS Google account are admitted automatically using the meeting URL.
  • Guests without an RCS Google account must be admitted by the host (teacher) using the meeting URL.
  • Guests without an RCS Google account cannot join future meetings without the host (teacher) as they cannot be admitted.

Troubleshooting

  • When using Meet, participants can turn off their camera to show their profile photo instead. This can improve video meeting quality if internet speed is slow. If audio quality is poor, use a phone for audio instead.
  • For large classes, use a live stream instead of having students join an interactive video class meeting. To engage students while live streaming, you can use Google Slides Q&A. Or, you can pre-record a lesson to share later.

Host and Guest Interaction:

  • Host (teacher) needs to start the meeting with a Nickname. The nickname must be unique to the meetings hosted by RCS.
  • Guests (students) with an RCS Google account are admitted automatically after the host (teacher) joins the meeting.
  • Outside guests must be admitted or denied by the host (teacher) after the host (teacher) joins the meeting.
  • Guests can invite other users.
    • The meeting nickname and URL are shown in the meeting window for all guests.
    • Guests (students) with an RCS Google account can use the Nickname or the meeting URL and are admitted automatically.
    • Outside guests can use the meeting URL and ask to join. They must be admitted or denied by the Host (teacher).
  • Host (teacher) needs to be the last one to leave the meeting. Guests can continue to meet if the teacher is not the last to leave the meeting. The host (teacher) needs to make sure all guests have left or use the Remove button before leaving the meeting.
  • The meeting URL expires after everyone has left the meeting.
  • The same Nickname can be used for future meetings but a new URL will be generated.
    • Guests (students) with an RCS Google account can use the same nickname to join future meetings.
    • Outside guests will need the new meeting URL and ask to join. They must be admitted or denied by the host (teacher).
