Alexander Street Press (ASP) Vendor Record Notes

ASP sends occasional, approximately monthly updates to the various collections. The updates will contain links to the websites.
Open the Alexander Street Press (ASP) Collection Sets Last Reviewed spreadsheet.
Go to the website, http://alexanderstreet.com/marc
Identify and download the latest files and save under the eponymous GenLoad directory in the TECHSTAFF shared drive (e.g.: GenLoad-->Alexander Street Press-->GLTV).
Cross-check the date in the Latest Update column on the ASP website to the Last Updated date in our ASP spreadsheet to verify if a collection needs updating.
i. The most recently updated collections on the ASP website are bolded for easier viewing.
Unzip and review:
ReadMe.txt: File may note if materials are not included in the files for specific geographic regions or if materials need to be removed, and will include the file names (and number of files) for each geographic region.
i. Process the UTF8 file for the United States.
1. It's worth verifying that our counts for the collection match what the collection file indicates.
Spreadsheet:
i. May also indicate removed records.
Review records in MARCEdit
Find and replace VaAIASP with VaAlASP (note the capital 'i' should be replaced with a lowercase 'l')
OCLC# will be flipped to the 599
490 should be left alone
Clean up the 336, 337, 338 fields
Remove $2 from the 655 field
Verify that any 856 $3 contains necessary volume/issue/part information
Save and compile back into mrc.
In GenLoad:
Use the FAU-ALEX-ST-P profile
We don’t want to match on the OCLC number because these are vendor records and shouldn’t be merged.
i. Match on the vendor code (VaAlASP) [lowercase L] in GenLoad under Matching tab-->Match Search Order.
Add the appropriate collection TKR to the profile for each collection processed (See TKRs section below).
Proceed to load through GenLoad, following typical GenLoad procedures.
i. While in Report mode, edit the vendor profile under the Matching tab to process and send records as follows: HOL for BIB Match/Replace-->Match with the option Replace 852 checked, and then again with the Don’t Load option checked to verify any skipped records.
ii. After processing the files in Report mode, spot-check results showing as New by finding the corresponding record number in the GenLoad window and looking up the title in Aleph to verify that no other SUL has already loaded the record.
iii. If the results look good, uncheck Report mode and process and send the records to Aleph.
Document the date of the update in the ASP spreadsheet and notify the E-Resources Access Management Librarian that the updates were completed.
Update FAU’s holdings on OCLC WorldCat by clicking on OCLC WorldCat in the toolbar of the collection’s mrk file.
Record metrics in both the FAU Metrics and Batch Metrics Google Doc forms.
All collection records processed should have a TKR for Alexander Street Press as well as the appropriate ASP Collection TKRs:
