Obtain a record in the OCLC Local Save File and pull the hardcopy of the author/title you will be cataloging.
Add another 264 _4 field if there is a copyright date in the book. 264_4 $c ©2003 (list of diacritic can be obtained by Cntrl E)
If you add a 264_4 you must also edit the fixed fields…
Edit Fixed fields DtSt - “t” and the Dates - first is the publication date and second is the copyright date
500 fields – delete 500 field that have “UMI #” or “Typescript (Photocopy)”
533 field – delete
650 _0 fields - If a subject heading is unlinked (not highlighted in blue), check against the LC authorities file
The system will automatically change the subject headings to blue. If they do, continue to step #6.
If they do not change to blue, go to each individual field, right click and Cntrl. Single Heading.
If you should receive an error message, you must do an Authorities Search.
Search the subject heading in Topicals (sp)
Search the Authorities File List for your subject. Click on the Subject.
Copy and paste the 150 field from the Authority File into the OCLC record, 650 field.
710 field – be sure the college information matches the title page. If it does, skip to step #9.
If not, you should delete the 710 field and continue with step #7.
Go to “Cataloging” – “Search” – “Online Constant Data” – Okay
From the listing choose college and degree 710, then “Apply Selected”
In OCLC edit the 710 field for the year of publication of the original Thesis.
Validate Record
Produce
EXPORT
In Aleph SB, check the record and in Web OPAC (Cntrl O) check that the URL connects to the digitized Thesis.
Make note of the Aleph SB System number, for use in statistics.
Count Cataloging E-Resource statistics
Be sure to go into the Shared Drive under PURLS for Theses and strikethrough and initial the titles you have cataloged.
Once electronic cataloging procedures have been completed, place hard bound copies of Theses on the designated truck for withdrawal.
