These procedures cover the general practice of updating the catalog entries for journal title list regardless of the vendor. For specific vendors see * Vendor Specific Procedures for Electronic Resources.
Journal title lists will be provided as licensing and acquisitions completes the process of securing a new package or an update to a package. They'll usually do some of the reconciliation work against the previous edition of the package. Depending on what they provide, we'll either need to compare the current package to the old package or the current package to the titles currently in the catalog.
These procedures will explain what needs to happen to consider a title list reconciliation or update complete.
Existing titles in any number of ways.
Title lists should be kept in the appropriate folder in the Z drive under the Genload directory. Additionally, an entry should be made in the collections ReadMe file. If no ReadMe file exists, one should be started.
Journal titles in the catalog should link the library's A-Z list (http://www.fau.edu/library/ecollect/ejournals.php) for the title. This should be done by finding the appropriate ISSN and adding that to the base:

If that does not result in a hit, then eResources should be notified. Additionally, we'll need to make allowances to add the platform specific URL to the catalog entry in cases where eResources has yet to update their A-Z list. These situations can be escalated so that the necessary coordination occurs.
The appropriate ISSN is mentioned because the ISSN provided by the vendor may be incorrect and so it should be verified as resulting in the correct title on the A-Z list. Additionally, we prefer to use the ISSN-L (022$l) if that has a match. However, if that doesn't return results but the 022$a or even 022$y does, please use one of those.

In addition to adding the title to the catalog if necessary and the link to the A-Z list or vendor platform, there are few other updates that are necessary to perform.
A tickler should be added to the Holding record. The tickler or TKR allows us to "tag" the record as belonging to a specific collection. The tickler for a given collection should be stored in the ReadMe file in the z:\genload directory for the specific collection. If no TKR exists for the collection you are working on, please escalate so that one can be created.
An item is a sub-record of the Admin record. The creation of the Item will automatically create the Item. Items for electronic resources should have the following attributes.
Sublibrary: FAUER
Item Status: 91
Item Process Status: SP (Suppressed)
Material Type: ELEC
Hol. Link: (the related holdings record)
All other items should be blank or default. Except for the Hol. Link, which must be set every time, the other attributes can be saved as defaults so that you'll only need to enter it once unless you add items for other types of materials.
