**** URGENT: Zoom Recordings Deleted May 17 ****

(From Bob Trybalski, Coordinator of Media Services)

Dear Zoom User,

It’s that time in the semester when you should delete or move your recordings from Zoom.  Please take a moment to delete any recordings that are no longer needed. If there are any recordings you need to continue to use you should download them to other storage (i.e., an external drive, Panopto, or Stream) and then delete them from Zoom cloud storage. I have attached instructions for downloading and deleting.  Your current recordings will no longer be available on Zoom after May 17, 2024 to ensure there is enough recording space for future semesters.

Faculty: If you plan on using any Zoom recording for future semesters you will need to move these recordings to Panopto or another storage location. Visit the AEI ASSISTANCE – FACULTY ONLY page and submit a request for Panopto Training if you do not already have a Panopto account established. Please note that due to space limitations on the Panopto streaming server, we can no longer keep content on the Panopto streaming server that is not being used for courses. Please download videos to an external source and/or delete videos that are no longer being used. Please keep in mind that the Panopto server, like Zoom, is a yearly budgeted item. You are responsible for backing up any content that is valuable and vital to your course function.

All Employees including Faculty: You can upload videos to Microsoft’s Stream (on SharePoint) available to everyone at Columbia State through Microsoft 365. Videos on Stream can be shared with others for viewing directly from Stream.

Any college business meeting recordings that must be retained due to the state records policy must be moved off of Zoom or Panopto. Zoom and Panopto are not for archiving.  State records retention policies may be found here: Records Retention and Disposal of Records.

Thank you for your cooperation. It is appreciated!
