Every new employee has to be verified via the I-9 process before work can begin. Employees must present original (not scanned) documents. Examples of acceptable verification documents are SS card, birth certificate, passport. Other documents are accepted, but these are the most commonly used.
Recent changes in monitoring of I-9 Employment Verification by the federal authorities has increased enforcement and doubled fines pertaining to immigration related offenses, including paperwork violations and unlawful employment of unauthorized workers. The I-9 form is a federally required document for ALL new employees, not limited to international employees. Federal penalties for paperwork violations of I-9's are increasing. Departments are expected to cover this expense, if there are violations. In addition to increased fines, I-9 audits have also been on the rise in recent years.
All sections of the I-9 must be completed by the first day of employment.
Employees may not begin work until their 1-9 is fully completed and turned in.
Effective immediately: If Section 1 and 2 are not completed by day 1, the employee may not begin work and payroll will be stopped, until documentation is complete. Note: The I-9 can be completed anytime after the job offer is accepted up to the first day of employment.

Standard 9 month salary is typically paid beginning in September. Participating in 9-over-12, means that your 9 month salary for the following fiscal year is distributed across 12 months. If you are interested in having your 9 month salary paid over 12 months, please complete and sign the 9-Over-12 Memorandum of Agreement and submit it by the end of April. (The form only needs to be submitted once to start.) If for any reason you would leave the department prior to earning that distribution and stopping 9-over-12, you would be required to pay the salary back in full. Review the eligibility on the OHR website.
