Saying goodbye to a teammate — whether they’re moving on to a new opportunity, retiring, or shifting roles — is an important part of the manager’s role. Offboarding isn’t just about wrapping up tasks; it’s about closing the chapter well and making the transition smooth for everyone involved.
Collect or inventory assigned items (e.g., laptop, mobile phone, accessories).
Coordinate with IT if equipment is being returned or reassigned.
Remove access to:
Department-specific software/systems.
Shared drives and files.
Building/room access (keycards, keys, fobs).
Notify IT/security if account deactivation or transfer is needed.
Confirm final work date in the current department.
Submit transfer paperwork or update job records in HRIS.
Approve any remaining time cards or leave reports if applicable.
Leave approval transaction dates/approvals in WD are transitioned.
Conduct an internal exit meeting to review responsibilities.
Ensure work is transitioned or documented for others, outline the onboarding transition period.
Notify team members and update organizational materials.
Retrieve uniforms, tools, equipment, ID badges if no longer needed.
Deactivate local system logins, if applicable.
