Monitoring of students

I have more information about monitoring on this page, Academic Progress Monitoring, of this website. It has more of the forms and theories behind it. In looking over these tips, it appears that the majority of the things below are related to IEP goal monitoring and monitoring of academics. For more forms for the IEP process that relate to these notes below, please check out the Case Manager Resources sub-page.

1) Go over ‘feedback forms’ (or Quarter Reports) with students after I write them each quarter. This means that the End of the Year report and the progress they were making in classes and the recommendations from June are gone over with students when they return in August.

8) Go over IEP goals at the beginning of the year

- check in periodically to see updates / progress

- use that spreadsheet on excel that tracks all their goals and fill in with them to progress monitor

14) Mark off who’s going to enrichment and who’s not on the log. Following up on Tuesdays in order to give them time (it seems good to be on them. I think they need it)…set goals, emailing teachers, giving high 5’s, and detentions, talk to parents, figure out when we will stop and mark that on the log and point that out every time they give you the enrichment card

20) Long range plan in your agenda to Call parents of students who are doing good…..probation too. This can’t be overstated. Stay up on it. At least email the parents or text them if you don’t feel like doing the call thing.

21) Read notes on “PowerSchool Weekly Check ins” from time to time in order to see trends, follow up with things you were supposed to follow up on, etc. Things can slip through the cracks if you don’t.

22) Setting personal goals with students with rewardse (i.e. One student and two lowest classes going up to 80’s and getting iPhone if things work out well). Work with parents, make it explicit, hold parents to it, etc. Also have the progress monitoring situation going on so you can encourage students with it so they don’t forget.

26) Progress monitoring of IEP goals.

- that means checking with their teachers, checking work samples and staying up on that action

- use the Excel sheet also in order to handle your bidness

31) Stay super proactive during the per cycle grade checks. Figure out ways to help cats, think of teachers to talk to, websites to peruse, etc. Make your notes about what to follow up with and follow up with them

35) I am trying to review the weeklies (the weekly behavior type reports) with cats every few weeks and go over good things and bad things that I highlight EVERY WEEK as I review them.

40) Try to keep up to date on progress of IEP goals by sending that form to teachers that you used to use that has 5 things the students can and cant do. Getting work samples would also be chill. Observing too if need be.

NOTE: That form can be found in Case Manager Resources.....somewhere.

44) stay up on progress monitoring and using data and data having data drive what you’re doing in the OLC and creating new goals and plan to update goals regularly

45) Go over IEPs at the beginning of the year. See if there should be any changes. Let them know that I will be on them with this ( and be talking to their teachers, etc.)

48) Use the “Goals Progress Monitoring Form” to update the students goals every quarter. It’s an Excel Spreadsheet you made with Miki.

50) Go over IEP goals with students early on in the year

51) Read through all files (i.e. grade checks, notes, etc.) and see what you can do that you aren’t doing

54) Use work samples to help guide discussions of why cats are failing

55) When cats have goals like getting honors or principal’s honors, have more frequent grade checks…like ever five days. It’s really helpful b/c they are able to see where they are at…see the classes that are going down…get props for the classes that are going up……figure out what I can do to help, etc. I’ve been doing it with Franklin and Alvin and I think they need it.

9) Check weeklies and the comments and then consult teachers and see how I can support, (aka see why they are not sending them my way)

74) Sit down with struggling kids at end of each quarter or whenever and go class by class on Excel weekly checks and make plans, see trends and just do the do.

21) I often will do a grade check for probation students (and Resource students), but not meet with them. I do this to stay on board and keep tabs and do it maybe a few days before I plan on doing one with them, or a few days after. Even if cats are doing good I try to make it a point to talk with them so they know they are doing well….ask them if they want me to talk to their parents, maybe get them that iPhone they are looking for or something like that. Furthermore, it helps to have the periodic look at their grades so you can more easily spot trends and work with that.

24) When working with probation cats and people on watch lists (monitor) and all that…you need to have an educational focus (what makes you a teacher should reflect on what you do).

How are you helping them grasp the content (i.e. study plan that you have them do)?

How are you working with teachers to help them with learning styles and what not? Etc.

You can’t just be a enrichment card checker….they could have anybody doing that

25) Periodically (once a week) check PowerSchool grades of students and add to the Excel spreadsheet…even if they are smooth and I’m not talking to them, or I’m really busy and not talking to them. It will still help with trends and what not when you look back at the excel spreadsheet. It’s always a drag to see huge gaps in the data, thus trends and what not are diminished.

28) I have considered using the calendar on iPhone to sync with parents calendar and students'. Maybe they can have a separate calendar (i.e. work) and coordinate that way. So when a student is up to date with their calendar (me checking it), their parents will be knowing….and maybe say, “Why do you always say none..

….can you hook up templates in the calendar so you can fill in for ELA, Science, etc. each day

36) Go over IEP goals every quarter and put it into your excel spreadsheet (I added that template to my Moodle under “teacher forms” ….maybe I could make it a hidden document in Moodle? Something that’s not open to the public

39) Quarter Reflections with OLC and probation

- look at the “Progress of OLC students” Xcel spreadsheet with the student

- look at the regular spreadsheet from the whole quarter…look at the notes, etc.

- look at quarter report and the goals, recommendations, etc.

- then fill out the reflection based on the template that you have on file

- one thing to think about and discuss with them is the improvement (or not) between the quarters. It is really effective going both ways….”look how good you are doing”…or “what happened?!”

- another thing that I have been doing is to take the previous quarter reflection and instead of “saving as” and then erasing old data, I will just use the cross out (strike through) function in Word so we can still see the things they said previously.

73) Email to the teachers of the students I’m monitoring (ex Resourc students) cats.

- explain the situation

- use strengths and weakness from old accommodations form

- let them know to hit me up if needed. I want to be the first line of defense, or at least the first line along with other team members like counselor, or principal, etc.

81) Use the Excel spreadsheet for grade checks to keep track of contact with parents, notes on convos with parents, notes on things with students, etc. This stuff can then be uploaded to (copied) to the Google Doc for struggling students
