Each school will have a lead mentor responsible for: the organisation and support of their school mentoring team; offering guidance and advice to all student mentors via drop ins/online forums; and liaising with the school coordinator and the Access Mentoring team to ensure smooth operation of the programme. All lead mentors will attend a short additional training session detailing their extra roles and responsibilities. There will also be the opportunity to attend additional leadership training across the University.
Main source of communication between your mentoring team, school and the Access Mentoring Staff Team. If there are any issues at the school, mentee attendance or with the weekly timing of the taxi departures you would be responsible for letting us know by completing the Lead Mentor weekly feedback google form.
Day to day administration – collecting weekly registers of mentees/mentors attendance at each mentoring session and promptly submitting the register electronically. Also ensure your team have completed their weekly session feedback form.
Coordinating between the team and the school any group sessions planned - length of session/split of mentees/ PC room /resources needed and the team preparation etc.
Managing taxi departures, chasing your team if anyone is missing or the taxi is late liaising with Veezu and the Access Mentoring Team.
Work with the Access Mentoring Team to provide pastoral support for new mentors in the form of face to face drop ins, online support forums and any other pastoral activities led by staff.
Act as a role model for your team and an ambassador for Higher Education, and The University of Sheffield at all times.
Comply with the school’s expectations regarding appropriate dress, conduct and appearance.
It may be the case that for personal or academic reasons your mentees are not able to attend sessions. If this is happening on a regular basis with one or more of your mentees, you must inform the School’s Operational Coordinator who will decide whether or not the mentee should continue to participate in the programme.
Please inform the Access Mentoring Team so we can keep accurate records on mentee attendance and chase the School's Operational Coordinator. The information you provide directly to the Access Mentoring Team and Operational Coordinator is in support of the weekly mentee register completed on each school’s Google Drive folder.
As a Lead Mentor you will receive absence notifications from your Student Mentor Team. Mentors will also inform the Access Mentoring Team and School Coordinator. Please refer to the Absences page for how mentors are asked to report absences,
If you are expecting to be absent you should ask one of your Mentor Team to collect the Mentee Register and be the contact for the taxi. You will need to complete the online Mentee Weekly Register on their behalf as only Lead Mentors have access rights.
Lead Mentors are still expected to email the Access Mentoring Team and School Coordinator, plus confirm the acting Lead Mentor for that week.
Lead Mentors are required to complete the ‘Mentee Weekly Register’ in their school’s Google Drive folder each week following the mentoring session. This register is shared between the Lead Mentor, School Coordinators, and Access Mentoring Team to track mentee engagement.
It is the sole responsibility of the Lead Mentor to record all mentee attendance and absence accurately. It is essential that we receive accurate registers on a weekly basis.
