Vacation and self-care are valuable and consistent with the GU value of “cura personalis.” In an effort to promote and protect vacation and out-of-office time, the following norms and expectations for Adjunct Faculty were developed. The goal of this norm/expectation setting, similar to what is in place with full-time faculty, is to promote and protect agreed upon vacation and out-of-office time through proactive planning and strong, closed loop communication.
Adjunct faculty of the GUSON NM/WHNP & WHNP Program agree to the following norms and expectations for all Adjunct Faculty:
Adjunct Faculty are encouraged to take vacation during GU BSON holiday closures and ideally during periods of time outside of the academic term.
The needs of the program and our students should be factored into all vacation planning and timed accordingly.
Communication is crucial.
Out of Office emails should be pre-arranged with the covering faculty, Lead CFAs, CFD, Course Coordinator, and Program Coordinator as applicable prior to the vacation, communicating the coverage plan. In addition to identifying covering faculty, the Program Coordinator should be identified in the email as a catch all to triage accordingly. Please use the following template to guide your out of office messaging.
During occasions when the majority of faculty are engaged in activities simultaneously (e.g., ACNM Annual Meeting, Commencement), the CC in consultation with the leadership team will determine a coverage plan.
Adjunct faculty are not expected or encouraged to read and/or reply to emails while they are on vacation. Strategies include:
Setting your mobile device to sync only personal emails
Turn off Canvas and Gchat and other notifications.
Communication to adjunct faculty who are on vacation should be avoided, if possible, to ensure important rest time. Strategies include:
Addressing emergent or urgent issues directly with the identified coverage and/or program leadership.
Using the ‘schedule send’ function to delay non-urgent/FYI-type issues.
Adjunct faculty should schedule time for reconnecting/debriefing with their coverage immediately after vacation to facilitate a seamless transition back to work.
Vacation Norms Specific to CFAs
Prior to agreement to advise a student for a term as a CFA (which typically occurs prior to week 10 of the previous term), a discussion between the CFA and the Lead CFAs/Clinical Faculty Director should occur regarding any vacation time.
CFAs should notify the lead CFAs and CFD of any time they will not be available to their students to arrange for coverage.
CFAs should document their planned time out on the shared CFA vacation calendar.
CFAs should notify students of their time away and loop them in with covering faculty. Please notify covering faculty if any assignments will need to be reviewed.
Covering faculty should be empowered to make decisions within the agreed upon scope during this time.
