8. The day of the week of your session schedule update
Based on your answers in this section, the form will direct you to different pages before submission.
After surveying your students to determine what schedule works best for everyone, you will submit the form once for each weekly session slot on your schedule (i.e. if you choose to host two 1.5 hr sessions each week, you will submit the form twice).
Please do not contact Campus Management or your campus' LeLa or ACCelerator directly to request session space!
Survey students of your course to determine what days/times work best for everyone
Use the survey results to complete the Session Scheduling Form once for each weekly session slot on your schedule.
This informs the SI Team of your regular SI Session schedule.
In-person SILs will receive an email with their campus room reservation information.
Host your sessions at the scheduled time😎
Occasionally, you will not receive room confirmation before your first session is scheduled to start. In this case, you can host online sessions until your room has been assigned.
When you need to update your existing SI Session schedule, you will submit the form first to cancel your previously scheduled session slot(s).
If you are rescheduling your previously scheduled session slot(s), you will submit the form again to schedule your new session slot
Make sure to submit this form process once per scheduled session slot.
Inform the students and professor of the session schedule update
Complete the Session Scheduling Form to inform the SI Team of the update (cancelling and adding sessions are separate processes; the form must be submitted for each slot for each process
Host your sessions at the newly scheduled time😎
In-person sessions:
Due to the high volume of room requests that are initiated at the start of the semester, in-person SILs at select campuses may not get a room reserved before their first scheduled session. In-person SILs are encouraged to host their first session(s) online in the event that they do not have a room reserved before the first session.
There is no guarantee that you will be given a room unless there is ample notice given to your Regional Lead, preferably 3-5 business days in advance of the session slot, any sooner will not guarantee you a room. You may also submit session changes for the entire semester at the beginning of the semester if you know a session will need to be changed in advanced.
If a classroom is being requested for your sessions, please make sure you receive an official Campus Management room confirmation pdf sent via email from SI Admin before holding your session. Study rooms in Accelerators and Learning Labs don't always require Campus Management room confirmations.
Rescheduling in-person sessions is very difficult at busy campuses due to lack of space, for this reasons all "makeup" sessions must be held online

Online sessions:
Make sure the link to your virtual sessions (especially in Google Meet) are accurate before submitting the Session Scheduling Form!
Make sure discord server links are set to "never expire"!
Lecture time:
The rescheduling policy does not apply to missed lecture time. If you have to miss a lecture, you do not need to inform the SI Team (but you do need to inform your professor.) You cannot enter that time onto your timesheet and you will not be compensated.
Make-up Sessions:
All make-up sessions (e.g. cancelled sessions for ACC Campus closures or otherwise) must be virtual.
Holidays/Closures:
If your session falls on an ACC closure day, then you do NOT need to submit a cancellation form. We know you are not holding a session that day! If you would like to hold a virtual session to make up for it, you will still need to submit the Session Scheduling Form (and the makeup session must be conducted virtually.)
Test Review Sessions:
SI Leaders may use the time they would usually attend lecture, if that lecture is not meeting due to an exam, to host an additional "test review session" before the test. Test review sessions may only be scheduled for synchronous in-person or online courses. No additional session time will be provided for asynchronous classes.
Format - SI Leaders must complete the Session Scheduling Form and update their calendars.
Space Availability - In-person test review sessions are subject to space availability, so the SIL should have a backup plan to host virtually.
No-Show Policy - No-show activities cannot be applied to a test review session.
