This and the accompanying pages provide a central technology resource for all Maine district Technical Coordinators (TCs) and anyone responsible to use, oversee and/or maintain assigned Tax-Aide technical equipment and software. It is also available to volunteers capable of self-resolving technology issues before escalating them to local/district leaders.
Equipment and software should ONLY be used by AARP Foundation Tax-Aide program volunteers to train and prepare taxes. No personal or any other use is authorized unless specifically authorized by the National Tax-Aide Committee (NTC). This policy covers all Tax-Aide-furnished Chromebooks, printers, routers, Hotspots, etc., as well as IRS tax preparation software (TaxSlayer Pro Online (TSO)).
The Tax-Aide program standardized the technical equipment packages and network practices to
Help enhance volunteer & client security
Simplify setup across sites as much as possible
Facilitate training for new and returning volunteers
This standardization includes:
One Chromebook (Acer CB315 Series) per volunteer to use solely for tax preparation & training
One Google Workspace Account (Cloud-based) per Volunteer, tied to the Tax-Aide Chromebook (seasonal)
A single printer make/model (Brother HL-L2370DW) per Tax-Aide site (exceptions for high-volume sites)
Secure, private Network Configuration: several options based on your site's capabilities
Service Delivery: options based on current site reviews and Tax-Aide policies
Note: The use of personal computers, printers, networks, or other peripherals for processing actual tax returns IS STRICTLY PROHIBITED within the Tax-Aide program. Personal equipment may ONLY be used for initial pre-season tax training, although using Tax-Aide equipment as soon as it is available to you should help to further enhance your skills.

Keep your DC and state TCS informed during every step of the process.
In some cases, a temporary or permanent replacement item may be available. Your state Technology Specialist (TCS) may have a replacement on hand and will let you know.

Do not order ANY new or replacement routers or Hotspots until the new Authorized Routers list and Hotspot replacement procedure is published in late fall.

The NTSC Technical Library tab content of the AARP Foundation portal is now on a shared Google Drive under your Chromebook Tax-Aide Links bookmarks. It includes functional links to all library content covering the setup, maintenance and management of Chromebooks, Google Accounts, printers, scanners, consumables, etc. The Tax-Aide National Technology & Security Committee (NTSC) reviews and updates these documents annually, or as needed.
