Ordering, Repair and Replace, or Missing Tax-Aide Equipment

Keep your DC and state TCS informed during every step of the process.

In some cases, a temporary or permanent replacement item may be available. Your state Technology Specialist (TCS) may have a replacement on hand and will let you know.

Brother Printer - Installation for Chromebooks

The default Brother HL-L2370DW Printer is automatically installed & connected to your Chromebook during login at any Tax-Aide site as long as it is setup using standard AARP-recommended networking. For more info, refer to P02 Brother HL-L2370dw Network Printer (Quick) Setup Guide.

Brother Printer & Scanner Firmware updates

New firmware updates for both the printers and scanners MUST be installed before the beginning of the new tax season.

Brother HL-L2370DW Printer: Refer to P08 Update Printer Firmware for instructions. After the update, verify all your printer configuration settings, particularly the toner setting under GENERAL SETUP, REPLACE TONER. Make sure it is set to CONTINUOUS.

Brother ADS-1700W Scanner: Refer to SC03 Brother ADS-1700W Scanner Setup Guide for instructions. NOTE: Chromebooks cannot be used to upgrade this scanner's firmware.

Printer "Deep Sleep" mode

You should turn the "Deep Sleep" Mode setting OFF on your Brother Printers HL-L2370DW using either the web admin interface or the printer LCD panel.

Follow these steps to use the Printer LCD Panel buttons.

Press OK until you see GENERAL SETUP
Press OK to enter GENERAL SETUP
Press DOWN arrow to go to ECOLOGY
Press OK to enter ECO Mode
Press DOWN arrow to go to SLEEP TIME
Press BACK and DOWN arrow at the same time to enter DEEP SLEEP setting
Press OK button
Press DOWN arrow to choose OFF
Press OK to ACCEPT the setting
Press BACK until the LCD shows READY

There are only two authorized requesters can be registered with Graceworkz® for each split state.

NOTES:

Toner cartridge life can sometimes be extended several weeks by gently shaking the cartridge horizontally and re-installing it into the printer. DO NOT reset the counter.
Drum kits do not always require replacement despite warnings. Unless the printer is smudging or printing vertical lines on pages after wiping, reset the drum counter and continue to use it. See Drum Counter Reset Not below.
Unless you are at a very high print volume site, keep only one spare drum and one spare toner cartridge per site to ensure that we have enough to go around. You are the best judge of your site's needs.
Remember, occasionally clean paper residue out of your printer by using compressed air designed for electronics.

Drum Counter Reset Note

One thing that makes resetting the drum easier is to increase the “Button Repeat” time from its default of 0.1 seconds to 0.6 seconds. You do this on the web interface General Tab.

Set “Button Repeat” to 0.6 seconds. This setting controls how close together in time that you must press the “OK” and "UP" arrow buttons on the printer to reset the drum count. The default time of 0.1 seconds is very short, making it very difficult to bring up the drum reset menu.
