TY25 ACCOUNTS
Google accounts for the coming tax season created September 15 are available now. As a reminder, the username is based on the Volunteer ID + the tax year.
For example: 123456789ty25@aarpfoundation.org
Detailed information about how to log into these accounts is found in the document - C11 Chromebook Accounts linked here. Details of the process for prospective volunteers are listed in the document: GA13 Prospective Volunteer (PV) Accounts.pdf . For your admins, the relevant tip sheet is: VP04.02 Processing a Prospective Volunteer.
Offseason accounts will be deleted and purged in early October. Use of USB thumb drives will not be enabled. To save any files you have on your offseason accounts, either email them to yourself at your new account, or upload them to your state's shared drive. For details on this process see the document C15 - Chromebook and Volunteer Account End of Season Backup.
PROSPECTIVE VOLUNTEER ACCOUNTS
The PV account process began the week of September 15. Updates will happen every Tuesday until mid-October – when they’ll move to twice a week on Tuesday and Friday. Please remind your DCs, TCs and LCs that a prospective volunteer must have been designated as a candidate in the Portal. Refer them to the NOC Tip Sheet VP04.02 Processing a Prospective Volunteer, also found in the volunteer Portal Libraries in the orange folder.
NLDC RELEASES 2025 DISTRICT COORDINATOR & STATE COORDINATOR GUIDES
2025 DISTRICT COORDINATOR GUIDE
The NLDC completed a new version of the District Coordinator Guide. The guide has been completely reorganized and revised, with much added content. It includes a more comprehensive District Coordinator Master Timeline (downloadable) which districts can modify and use as a checklist.
2025 STATE COORDINATOR GUIDE
The new version of the State Coordinator Guide has been reorganized and revised to reflect current practices, and a lot of additional content has been added. It includes a more comprehensive Master Schedule of Events and Deliverables which may be modified and used as a checklist.
Both guides feature a feedback form for questions, suggestions, and corrections. The NLDC also invites district and state coordinators to use the feedback forms to suggest templates and samples that would be valuable to other districts and split states. The NLDC will review all suggestions for possible incorporation into the guide.
TABLING KIT UPDATE
Thank you for sharing your feedback on the outreach kits. Initial reports are very good, and we are already hearing your work is generating prospects! We’ve had some questions about how to set up the 11”x17” tabletop banner. Click here for a helpful video demonstration of this process.
CHECK WITH YOUR HOST SITES
Remember to regularly check volunteer sites for potential IT changes. This includes reviewing any new site IT policy updates, verifying continued network access, and confirming your continued ability to use Tax-Aide routers. A quick call or email to a Tax-Aide site saves vast amounts of time and effort. Staying up-to-date helps ensure a smooth experience and avoids surprising disruptions.
REOPENING SITES
IRS SPEC is transitioning to a new site data handling system. In some cases, it will no longer be possible to reuse SIDNs as we have done previously. Reopening a site that has not operated since 2022 will require establishing a new SIDN. ADSs who are submitting tickets to re-open sites should carefully follow the revised tip sheet VP07.05 Reopen a Closed Site.
