Important End-of-Season Instructions
As we approach the end of the tax season, it’s important to remain focused on data security and continued compliance with IRS guidelines. Please review and follow the account management procedures outlined below.
Timeline
After April 15: Site Coordinators should begin deactivating volunteer accounts immediately after the filing deadline, unless the site processes extensions or operates year‑round.
By April 30: In accordance with IRS Publication 5683, CHAPTER 1-4: Guidelines for Closing Your Site - all site close‑out activities - including account deactivations - must be completed by this date.
Security Reminder
Deactivating accounts is a critical security step. Moving volunteers to an inactive status helps protect sensitive information and ensures system security during the off‑season.
Please share this information with your colleagues so everyone is aligned as we close out another successful tax year.

TaxSlayer assigns print sets based in collaboration with the IRS.
Always use the standard print sets that come with the software. The TaxSlayer Site Administrator should customize Print Sets as follows:
The TAXPAYER COPY print set must include the
File copy, do not mail watermark, which has now been set to a faded grey to make the documents more readable
CUSTOM CONSENTS forms as required by federal law, and IRS and Tax-Aide policy
Note: These forms show a taxpayer PIN and date from the TaxSlayer Consents screen, so they do not need to be signed separately.
CLIENT FORM LISTING SUMMARY pages list the Direct Deposit, Direct Debit, and bank information entered for federal and state tax returns.
This is where the client can initial to verify the information is correct.
If needed, use the TaxSlayer Configuration Menu to make changes to your print sets as follows:
To add the Custom Consent(s) pages to your default return, Configuration / Print Sets, search for "Custom Consent(s)" and change the 0 to 1.
To add the Client Form Listing Summary pages to your print set(s), go to Configuration / Print Sets, search for "Client Form Listing Summary" and change the 0 to 1.
PAPER FILE COPY print set: The taxpayer would mail this package to the IRS if unable to e-file. It should not include the watermark nor the CUSTOM CONSENTS" forms.

Scenario: An existing TaxSlayer Pro Online site from a previous tax year has a new Site Admin for the current tax year.
Question: How does the new site admin gain access to the site if they do not already have a login?
Solution: Send an email to TaxSlayer VITA/TCE Support (support@vita.taxslayerpro.com) with the following information and subject line:
Subject Line: New Site Admin
Body: I am the new site admin for the following site and need the link sent that allows me to create my admin credentials.
EFIN: {Enter six digit EFIN}
Note: You can obtain the site EFIN from your district coordinator (DC) or state technical coordinator (TCS)
Site Name: {Enter Site Name}
Site Admin Name: {Enter your full name as the new site administrator}
Site Admin Phone: {Enter your phone number)
Site Admin Email: {this is the email address the link will be sent to}
Assign volunteers the appropriate role to ensure they have the permissions required to perform their duties based upon their training & experience.
ME1 Experienced Counselors: Assign to experienced counselors who prepare tax returns
ME1 New Counselors (optional): Assign to New, 1st year counselors who prepare tax returns, limited permissions, cannot view PPI, QR functions unavailable
ADMINISTRATOR (TS): Assign to Local (&Shift)/TSO Site Coordinator, ONLY for TSO Admin functions
EFILE MANAGER: Site ERO to E-file ONLY, No other functions assigned
INTERVIEWER: Greeter, Client Facilitator ONLY if starting tax returns in TSO with no other functions
REVIEWER: Quality Reviewer, ONLY if strictly doing Quality Reviews with no other functions
DO NOT USE the following Roles
SUPERUSER:
SETUP MANAGER: For TSO USE ONLY
PREPARER ALL YEARS: Experienced Counselors (Too limited for experienced counselors)
PREPARER CURRENT YEAR: New Counselors, Only (Too limited, even for new counselors)
