TY2025 Tax-Season is Starting - Check here for timeline -->
Please refer to the documents listed. They have been updated to include all possible approved network and security scenarios for working with host-provided computer networks for Tax-Aide.
If the site does not allow us to connect our AARP router to their network, ask if they can provide us with a private password-protected network solely for AARP Tax-Aide use. Then:
Ask the site for an identical range of DHCP addresses as our standard range (168.192.234.100-199). If they can do that, then our standard printer (192.168.234.50) can hook up and the pre-installed standard printer in the CB will work as if it were using our router.
If they cannot, whatever printer is mounted does not have to be added to the CB. Volunteers can use whatever printer the CB finds on the network when they try to print as all the printers on our private network, by definition, belong to Tax-Aide.
PLEASE STRESS TO YOUR VOLUNTEERS: if we use a SHARED site private network shared with non-AARP people: printing MUST be only done via a USB-connected printer.
If you have any questions, please work with your or a neighboring district's Technology Coordinators (TCs) to get this right, or escalate it to your state Technical Specialist (TCS).
Need to review an existing or potential new host site to meet Tax-Aide requirements? The following are resources to help ensure that sites meet the minimum safety, security, and other requirements to be effective host sites for Tax-Aide programs.
Each host site must be able to provide a space designated to volunteers securely preparing tax returns. This space should be available for a minimum of 4 or more hours per week throughout the tax season from approximately mid-January through mid-April).
Additional requirements:
Must meet ADA accessibility standards compliance.
Provide essential amenities, including heating, electricity, and adequate lighting.
Supply seating arrangements, including chairs and tables, for taxpayers, volunteers, and taxpayers in a waiting area.
Offer onsite parking for both volunteers and taxpayers.
Have reliable and robust Internet access.
Allow Tax-Aide to use a secure sub-network connection (wired or wireless) to the host's network to provide internet access for our routers.
Guarantee sufficient privacy for counselors to assist taxpayers with their tax returns without inadvertent data exposure between taxpayers.
Notes:
Tax-Aide and the IRS expect that a new site can generate additional returns that could not have been done at a nearby site if the new site did not exist.
Each new site is expected to prepare 50 returns minimum during the first year, potentially increasing to 100 or more in subsequent years.
Training and supervision in tax law and site management
Provide AARP Foundation Tax-Aide and IRS-sanctioned equipment, including computers, printers, and routers
Provide consumable supplies such as pens, paper, toner, and printer drums
Liability insurance for volunteers
Free tax preparation services for your community by IRS-certified volunteer tax preparers.
Increased community awareness
Providing a much-needed service within your community and service area
Attract wider interest in, and possible support of, your organization
