Supervisor List
Supervisor Lists are due September 1st
Requirements
Must be current year list.
The heading requires a Board Supervisor's name and email. This means that in addition to the Conservation District email or district employee listed as a contact, you must submit one board member’s email as a backup contact.
So, for this year, please fill out the PDF Supervisor list (below). This is part of the requirement for “District in Good Standing” status that is verified for CSCB fund distribution (Direct Assistance, Matching Grants, etc.).
Once the form is complete, upload the supervisors list on DOLA’s site under ‘contacts’. (Instructions on how to do this can be found here.)

_______________________________________________________________________________
There have been many changes to Conservation District officers and supervisors during the year and since last year’s election. It is very important to maintain accurate, official records filed with the CSCB state office. By filling out the Supervisor List for submission through DOLA (verified by CSCB), your Conservation District is in compliance with election filings of special districts (32-1-809).
**Note: This past year, correction correspondence was mailed and emailed to Conservation Districts, correcting terms and/or term limits for many supervisors. Please be sure you complete the new supervisor list with that researched/verified information.
If you submitted a Supervisor List previously in this year, either by e-mail or hard copy or through DOLA, please re-submit with current information.
This is part of the requirement for “District in Good Standing” status that is verified for CSCB fund distribution (Direct Assistance, Matching Grants, etc.). (It also acts as the Transparency Notice in 32-1-809 that is required of all special districts).
***Download and save the form (to your computer) before filling it out. This ensures that you have a filled-out, saved file on your computer to upload to DOLA***
Please complete the form by September 1st
2024 Supervisor List
Enter 2024 for the year (this is a drop-down menu, making it easier for you to update year to year).
District Information
Enter the name of your Conservation District and corresponding information for your District.
The last two starred items (*) are important. Please list a board supervisor's name and email here.
Member Information
If your Conservation District has term limits, check the box for yes or no. If you are unsure, contact Nikki at CSCB, and they can clarify for you.
If your Conservation District has a district manager, please fill out the contact information for them (work, not home). If you do not have a district manager, just put N/A and continue to Board President.
Now, you will enter Board Supervisors. According to your Board bylaws, your Conservation District may have from 5 to 11 Supervisors. Please fill out for each position (if a position is vacant, just list ‘vacant’). *NOTE: If your board only lists 7 positions in its bylaws, then just leave the supervisor entry blank (for 8, 9, 10, and 11).
For the Secretary/Treasurer position (or to break it up to just Secretary or just Treasurer), list the supervisor’s name and the specific role after, e.g., ‘Nikki Brinson, Treasurer’.
If a position is currently vacant, you still need to list the Year Term Expires historically attached to the Vacant position. The number of members, including vacant positions, must equal the number specified in Conservation District by-laws. If you are unsure, contact Nikki at CSCB and she can clarify for you.
If the Board member was appointed, enter the month and year appointed. Board members are appointed to fill a vacancy on the board for the remainder of the term of the seat vacated.
If the Board member was elected, enter the month and year elected.
Important– If your Conservation District canceled the May 2022 election because there were no more candidates than offices to be filled, the supervisors are deemed elected, have been through an election process, and have a term expiration date of May 2025. All elections will NOW be held in May of odd-numbered years (and back to four-year terms), and the supervisor is considered elected even if the election was canceled because the supervisor was the only candidate.
May 2022 elections will be for three-year terms (this is to ensure the successful transfer of the odd-year elections, so their terms will expire in 2023 and 2025, respectively). May 2023 elections will be back to four-year terms (and forever from then on).
**The Soil Conservation Act specifies “terms of no more than a simple majority of supervisors expire at any one time”. For example, if a Conservation District board consists of 5 supervisors, 2 may expire in 2027, and 3 may expire in 2025 (and vice versa).
8. List the number of terms that the member has been elected to serve consecutively by entering a number (not how many years they have been on the board). For example, if this is the 2nd term the supervisor is serving as an elected supervisor (not appointed) enter 2 in the column.
9. Enter the name and contact information for the Ex-Officio (Extension Agent). If the position is not presently filled, enter Vacant.
