Annotating PDFs Using Adobe Acrobat Reader

Overview

With Adobe Acrobat Reader you can view, sign, collect and track feedback, and share PDFs. In order to share your edits with others, you must "flatten" the PDF to lock the edits in place.

Annotating PDFs

  1. If you have not yet done so already, download Adobe Acrobat Reader DC for desktop (Mac or PC): https://acrobat.adobe.com/us/en/acrobat/pdf-reader.html. For the mobile application to use on a device such as an iPhone, iPad or Android, search for Adobe Acrobat Reader in either the App Store or Google Play.

  2. Open the PDF you wish to annotate in Adobe Acrobat Reader.

  1. To open the annotation tools on the desktop app, in the File menu, go to View > Tools > Comment > Open.

To open the annotation tools on the mobile app, in the bottom-right corner, select the blue pencil icon, then select Comment.

  1. Tools to add annotation content to the PDF will appear at the top of your screen.

On the desktop app, hover your cursor over each tool for a description.

The mobile app will have fewer annotation tools than the desktop version.

Each tool will display edit options to the right of the tool bar, depending on which tool is selected. For example, the Add Text Tool (T icon) will provide options to adjust font color and font size, whereas the Drawing Tool (Pencil icon) will provide options to adjust line color and line thickness.

  1. Annotations can be edited, including being resized, moved, copy and pasted, or deleted.

On the desktop app, at the top of the screen, select the Selection Tool (arrow icon).

On the mobile app, select an annotation object by tapping with finger or stylus.

In both cases, the object will now show a bounding box; it can be dragged to move its position or resized by selecting and dragging the corner handles of the bounding box.

  1. Save the PDF when you’re finished with annotations.

On the desktop app, in the File menu, go to File > Save As. You may wish to give the filename additional information, such as your initials, to indicate that particular file has been annotated. (For example, if the original PDF file is named Example.pdf, the annotated version may be saved as XX_Example.pdf where the XX are user initials.)

On the mobile app, in the top-left corner, select Done to exit the annotation tools. The annotations are automatically saved to the document.

  1. There are several options for sharing documents. Which method you use will depend on the purpose of the PDF.

Invite others to collaborate and add comments to the PDF via email.

  • Desktop app: go to File > Share File.

  • Mobile app: select the Share icon.

Mobile Application Sharing Options

There are two additional sharing options at the bottom of the share pop-up window on the mobile app.

  • Share Via: creates a link that can be copied and pasted.

  • Share a copy: allows you to save a copy of this PDF to various locations, as well as open in another application.
